Event Management Specialist

The Event Management Specialist will be responsible for coordinating logistics for various events, executing both high-level external and internal events, managing vendor relationships, and ensuring the successful implementation of all event-related activities. This position requires excellent communication and coordination skills, a strong ability to multitask, and a passion for creating memorable experiences. Essential Functions - Employee will demonstrate TSTC Core values of Excellence, Accountability, Service and Integrity with internal and external stakeholders, customers, students and members of the community.
- Coordinate logistics for events, including venue selection, scheduling, catering, transportation, audio-visual requirements, onsite management, setup, cleanup and other event-related services.
- Liaise with vendors, suppliers, and service providers to secure necessary resources and ensure seamless execution of events.
- Oversee the event spaces, ensuring they are well-maintained, properly set up, and equipped with necessary supplies and equipment.
- Coordinate and manage a variety of complex and diverse projects concurrently.
- Practice professionalism and confidentiality when assisting various internal teams.
- Perform related work as assigned by supervisor, including but not limited to other statewide event support.
- Other duties as assigned.
Education/Experience/Knowledge/Skills - Associate's Degree in appropriate field from an accredited college or university, including or supplemented by appropriate continuing education courses. Bachelor's degree preferred.
- Minimum of 1 year face-to-face customer service experience or 6 months of leadership (including clubs, organizations, athletics, military, etc.) and 6 months of customer service experience required.
- Bilingual preferred.
- Ability to anticipate conditions and plan ahead, establish priorities and meet schedules.
- Excellent organizational and time management skills.
- Excellent communication skills, both verbal and written.
- Some technical and audio/visual experience is highly preferred.
- Some budgeting and finance experience optional.
- Ability to take direction and work effectively with team members in high stress times.
- Ability to be a calming presence in the midst of high stress situations.
- Must be able to work a non-traditional work schedule including some evenings and weekends.
- This covers a position in which the percentage of time spent on the essential functions will vary based on the workload and will ultimately be determined by the supervisor.
