Regional Office Administration Lead

Harbor Health looking for a Regional Office Administration Lead to become a member of our team! Harbor Health is an entirely new multi-specialty clinic group in Austin, TX utilizing a modern approach to co-create health with those who get, give, and pay for it, allowing everyone to fully flourish. The Regional Office Admin Lead is a full-time position that will enable the Austin Region with administrative support and coordination of key human capital needs. This includes managing relationships with external business partners, analyzing documents, preparing reports, managing complex calendars, and assisting in the coordination and planning of events. This role is highly aligned with clinical, operations and human capital teams.
Our Regional Office Administration Lead will be responsible for:
- Provide broad administrative support to clinical and operations leadership.
- Serve as the first point of contact between business functions and external entities, prioritize inquiries and ensure information is disseminated to appropriate staff members for resolution or response.
- Review, respond, and manage various forms of communications including voicemail, phone calls, emails, mail and visitors.
- Prepare agendas and presentations, attend meetings with the executive, and take, transcribe, and distribute notes.
- Manage the office at all non-clinic Austin locations to ensure smooth functioning including but not limited to supply ordering, access management, event planning.
- Ensure that meeting locations are arranged and that necessary AV requirements & catering are in place if needed.
- Focus on continuous improvement by juggling multiple tasks, demands and scenarios simultaneously, listen carefully, assess objectively, and evaluate quickly and accurately.
- Foster and champion a company culture that encourages a positive work environment and team work
- Communicate and support the organization's mission, vision and culture, as well as departmental goals, to all staff.
- Maintain confidentiality of sensitive information.
Successful Regional Office Administration Leads will have:
- Bachelor's degree and at least 5 years as a lead administrator working with an executive team in the healthcare or startup field.
- Superior oral and written communication skills.
- Effective communicator with the ability to interact with medical staff, external partners, and department managers as well as act as the key supporting staff member of the leadership team.
- Ability to build collaborative relationships.
- A proactive approach to problem-solving with strong decision-making skills.
- Demonstrated ability perform as a self-starter, anticipate the needs of an executive or team
- Strong skills in MS Office & G suite
- Ability to meet deadlines.
- Demonstrated ability to maintain a high degree of discretion and confidentiality
- Additional duties as assigned
Physical Requirements of the role include:
- Regional occasional travel required.
