We are looking for an experienced Executive Assistant to provide high-level administrative support to our Executive Team & Physician Sr. Leadership, ensuring seamless daily operations. This role requires exceptional organizational skills, follow though, discretion, and the ability to manage multiple priorities in a fast-paced environment. This is the second Executive Assistant role, which means job responsibilities may be split and may evolve over time based on workload distribution, skill set, and background. This is an autonomous role with a flexible hybrid schedule, based out of our Corporate Service Center in Plano, TX. You'll have the opportunity to work independently while collaborating with our leadership team to drive initiatives forward.Key Responsibilities:
- Comprehensive Administrative Support: Assist the Executive Team with administrative tasks, including managing and prioritizing tasks to ensure timely execution.
- Complex Meeting Coordination: Efficiently schedule and coordinate complex meetings with large groups across multiple time zones, navigating tight schedules to ensure maximum participation and productivity.
- Expense Report Management: Prepare, review, and reconcile expense reports for the Executive Team, ensuring accuracy and compliance with company policies.
- Communication & Coordination: Act as a key point of contact for internal and external stakeholders, maintaining a professional and welcoming demeanor.
- Reporting & Analysis: Create, maintain, and analyze reports, spreadsheets, and presentations, while conducting research and data gathering for assigned projects.
- Travel & Schedule Management: Coordinate travel arrangements, accommodations, and reservations, while maintaining and overseeing executive schedules for optimal time management.
- Cross-Department Collaboration: Liaise with IT, property management, and other departments to ensure smooth operations.
- Event & Meeting Coordination: Organize and coordinate company events, meetings, and special requests.
- Office Management: Oversee office supplies, equipment procurement, and maintain an organized and well-equipped workspace.
- Training & Onboarding Support: Assist with administrative duties related to Training & Development programs and facilitate new Executive Team onboarding.
- Other Duties: Perform additional tasks as assigned to support the Executive Team and office operations.
What We're Looking For:
- Educational Background: High school diploma required; Associate's or Bachelor's degree strongly preferred.
- Experience: Minimum of 5 years of experience in an administrative or office setting, Min 2 years' experience as an EA supporting multiple executives. .
- Technical Proficiency: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Organizational Skills: Exceptional multitasking and organizational skills, with the ability to prioritize tasks effectively in a fast-paced environment.
- Communication & Leadership: Excellent written and verbal communication skills, with strong leadership abilities and adaptability.
- Professionalism & Discretion: Outstanding customer service skills, a professional demeanor, and the ability to handle sensitive information with discretion and confidentiality.
