Office Manager Office Manager
We are seeking a highly organized and proactive Office Manager to oversee daily operations within a fast-paced electrical/construction office. This role is ideal for someone who can step in with minimal training, take ownership of administrative functions, and ensure smooth day-to-day workflow.
Key Responsibilities
- Manage accounts receivable, invoicing, and collections
- Prepare and process invoices using accounting software (e.g., QuickBooks or similar)
- Handle incoming calls and provide professional customer support
- Coordinate scheduling for field crews and job assignments
- Maintain accurate and organized records (both digital and physical)
- Communicate effectively with vendors, suppliers, and internal teams
- Assist estimators and project managers with administrative support as needed
Qualifications (Required)
- Proven experience as an Office Manager or in a similar administrative role
- Strong proficiency in QuickBooks or comparable accounting software
- Experience with billing, collections, and accounts receivable
- Ability to work independently with minimal supervision
- Excellent organizational and communication skills
- Reliable, detail-oriented, and dependable
Preferred Qualifications
- Experience in the electrical or construction industry
- Bilingual (English/Spanish)
- Experience coordinating field crews or job scheduling
Additional Information
This is an immediate hire opportunity. A short transition period will be provided for training with the current Office Manager before assuming full responsibilities.
