Retail Shopping Center Portfolio
Location: Houston, TX 77027 (travel requirement and reimbursement)
ESSENTIAL FUNCTIONS
•Direct and oversee day-to-day property management operations for a portfolio of retail shopping centers.
•Drive superior operational results, financial performance and asset value for each center.
•Ensure first-class property upkeep, curb appeal and tenant experience across the portfolio.
•Serve as the primary point of contact for tenants, vendors, owners and investors, resolving issues promptly and professionally.
•Demonstrate sound judgment, initiative and ownership by identifying problems, recommending solutions and following projects through to completion with minimal supervision.
•Think like an owner by proactively identifying opportunities to improve operations, control expenses and increase property value.
QUALIFICATIONS
•5+ years of experience in the Commercial Property Management industry, with retail/shopping center experience strongly preferred.
•Bachelor’s degree or equivalent experience; certifications from IREM or ICSC preferred but not required.
•Strong knowledge of commercial real estate accounting; able to interpret financial reports, prepare budgets, and complete CAM reconciliations.
•Familiarity with commercial lease documents, percentage/gross sales rent provisions, and insurance certificates.
•Experience with commercial property management software such as MRI or Yardi (or equivalent); a plus.
•Excellent computer skills with proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint).
•Professional, courteous, confident and positive communication with owners, investors, tenants, vendors and staff. Ability to remain calm and productive under pressure.
•Ability to prioritize multiple properties and competing deadlines while maintaining a high level of accuracy and organization.
•Attention to detail, self-starter, excellent follow-through and superior organizational skills.
•Ability to work and think independently while demonstrating strong support of company goals and policies.
RESPONSIBILITIES
Property Management & Operations
•Establish and maintain positive relationships with owners, investors, tenants, vendors and other business partners.
•Conduct routine property inspections to identify maintenance needs, operational issues, lease compliance concerns and potential liability exposures.
•Ensure each property consistently reflects company standards for appearance, cleanliness, safety and overall operational excellence.
•Receive tenant calls, work order requests and property inquiries, coordinating with the appropriate vendors to ensure issues are resolved promptly and through completion.
•Schedule and coordinate tenant move-ins, move-outs, inspections and other property-related activities.
•Develop and maintain a comprehensive vendor program by soliciting proposals, negotiating pricing, overseeing vendor performance, and leveraging trusted relationships to obtain quality service at competitive pricing.
•Manage service contracts, monitor vendor performance, and recommend contract renewals or changes as appropriate.
•Coordinate with municipalities, utility providers and governmental agencies regarding permits, inspections and property-related issues as necessary.
•Proactively identify deferred maintenance and capital improvement needs and make recommendations to ownership.
•Coordinate maintenance, repair and capital improvement projects, ensuring work is completed on time, within budget, and in accordance with company standards.
•Coordinate emergency repairs and respond appropriately to after-hours property issues when necessary.
•Oversee tenant relations and customer-focused initiatives to ensure positive tenant experiences and satisfactory outcomes.
Financial & Accounting
•Ensure accounts receivable , work with tenants to resolve delinquencies and coordinate collection efforts when necessary.
•Prepare monthly property operating reports, including executive summaries, leasing updates, budget variance explanations, A/R explanations, and collection status.
•Review and approve invoices for payment as prepared by accounting team.
•Approve monthly rent-up as prepared by the accounting team.
•Prepare annual operating and capital budgets and ensure each center is managed in accordance with the approved budget.
•Complete annual operating expense (CAM) reconciliations.
•Assist with annual property tax appeals and property insurance renewals for assigned properties.
Leasing & Administration
•Review/Verify entry of all new leases into the management system to ensure abstracts and rent roll information accurately reflect all lease terms.
•Track lease expirations and renewals across the portfolio and assist with renewals as needed.
•Coordinate tenant improvement projects from commencement through completion.
•Oversee accuracy and compliance of tenant and vendor insurance certificates for all properties, with calendar reminders of expirations, ensuring each meets lease and contract requirements.
•Prepare and send property management correspondence such as commencement letters, default notices and move-out forms.
•Oversee electronic filing systems, ensuring documents are scanned, named and stored per organizational naming conventions.
•Assist with developing best practices, procedures and policies to keep the company and its properties competitive in the market.
•Work with lenders as needed.
