Administrative Assistant

• Monday–Friday, 8:00 AM – 5:00 PM

ROLE IMPACT

As the first point of contact for visitors and callers, this role ensures daily front office operations run smoothly and supports key administrative processes for property application and lease documentation. Success in this role contributes directly to efficient case management and accurate recordkeeping across multiple departments.

KEY RESPONSIBILITIES

• Open and close front office daily; manage voicemail and call forwarding systems

• Answer incoming phone calls and maintain front desk coverage throughout the workday

• Process new property applications, including document verification, log assignment, and applicant notification

• Support file management for Senior Right of Way agents and Relocation Specialists

• Assist with research tasks, including deed verification, council district assignment, and acquisition source tracking

• Prepare deposit forms and update Accounts Receivable records for lease-related income

• Assist the License Division with envelope preparation and mail processing

• Provide general administrative support to the broader team as assigned

MINIMUM QUALIFICATIONS

• 1+ year of administrative or office support experience

• Strong communication and organizational skills

• Basic understanding of document handling and filing systems

• Ability to manage confidential information and multitask efficiently

CORE TOOLS & SYSTEMS

• DCAD (Dallas Central Appraisal District)

• Multi-line phone systems

• Email platforms (e.g., Outlook)

• Microsoft Office Suite (Word, Excel)

• Document management systems

• Office mail and postage equipment

PREFERRED SKILLS

• Experience supporting government or property management teams

• Familiarity with legal or municipal documentation

• Proficiency in identifying council district boundaries
