Under the direct supervision of the City Secretary / Chief Compliance Officer, The City Secretary's Office is seeking a highly responsible detail-oriented individual to provide principal administrative and logistical support to the City Secretary/Chief Compliance Officer, Deputy City Secretary, Assistant City Secretary, Operations Logistical Manager, Assistant to the City Secretary and other City Secretary's Office staff at the direction of the City Secretary. Duties Include posting agendas outside and on the website for council meetings, council committee meetings and boards and commission meetings; calendaring all council subcommittees, as well as, boards and commissions meetings on the Mayor/Council calendars and the City Secretary's calendar; managing and becoming a subject matter expert (SME) in accepting and processing Texas Alcohol Beverage Commission (TABC) forms for the CS's signature; working closely with the planning department preparing, updating and filing various reports, memos, and correspondence; managing and completing distribution letters of legislative documents (ordinances and resolutions) considered by City Council; answering multiple telephone lines for the CSO and Mayor and Council's office; greeting and assisting visitors; processing city claims and subpoena's; serving as the SME for the OnBase document management system (retrieving of resolutions and ordinances), scanning, and transferring documents for retention and storage; processing and working with the real estate division to finalize deeds and easements; performing data entry, maintaining files and other general office tasks. Additional Duties Include annually processing pastor letters for prayers at council meetings; coordinating with vendors for the ordering of food for city council committee meetings, city council work sessions as well as regular sessions; becoming fluent with the Administrative Awards process to attain the City Secretary's signature for departments; processing invoices; serving as the Records Liaison for the CSO to electronically and physically transfer records and boxes; and cross-training and assisting with performance of co-workers duties when absent. Duties will require precise attention to detail, exceptional patience, de?escalation tactics with some phone customers, and extremely positive, competent, and proficient customer service skills, both in person and on the phone; and handling of highly confidential matters with professionalism and discretion. A Bachelor's degree or equivalent, and three years of increasingly responsible executive level administrative experience required. PAY GRADE GG 20 / FULL PAY RANGE $4, 860 - $6, 849 PER MONTH

  • Individuals hired into this position will receive $1000 after their first 30 days of employment provided there are no documented attendance or disciplinary issues.
  • Employees that successfully complete their 6-month orientation period will receive an additional one-time payment of $1000 provided there are no documented attendance or disciplinary issues.
  • Employees that successfully complete one year of employment without documented attendance or disciplinary issues will receive an additional one-time payment of $1000.
  • The maximum amount of hiring incentive that an individual employee may receive is $3,000.
