About the Role:
Our Company is seeking a highly organized, proactive, and results-driven Administrative Assistant/Project Supervisor to join our growing team in New York, NY. This exciting dual-role position is ideal for a detail-oriented professional who thrives in a fast-paced recruitment environment. You will play a vital role in ensuring the smooth day-to-day operation of our office while helping coordinate recruitment projects, client engagements, and internal hiring initiatives from start to finish.
Responsibilities:
Provide comprehensive administrative support, including calendar management, scheduling meetings, handling correspondence, and maintaining organized digital and physical records
Coordinate and oversee recruitment projects to ensure hiring timelines, client expectations, and internal objectives are achieved efficiently
Serve as a primary point of contact between clients, candidates, recruiters, and internal departments, ensuring clear and professional communication
Monitor project progress, track recruitment milestones, prepare status reports, and maintain accurate documentation throughout the hiring process
Coordinate with hiring managers, external partners, and vendors, including scheduling interviews, conducting follow-ups, and managing recruitment workflows
Manage daily office operations, including answering phones, responding to emails, organizing files, maintaining office supplies, and supporting administrative processes
Assist with recruiting operations, onboarding coordination, compliance documentation, applicant tracking, and other staffing-related projects as needed
Support process improvements by identifying opportunities to streamline administrative and recruitment workflows for greater efficiency
Requirements:
Previous experience in an administrative, office management, staffing, recruitment, or human resources role is preferred
Project coordination or supervisory experience is highly desirable and considered a strong advantage
Exceptional organizational, multitasking, and time management abilities with outstanding attention to detail
Proficiency in Microsoft Office Suite, applicant tracking systems, and general office software applications
Excellent written, verbal, and interpersonal communication skills with a professional and customer-focused approach
Ability to work independently, prioritize multiple responsibilities, and perform effectively in a fast-paced, deadline-driven environment
Familiarity with recruitment processes, onboarding procedures, compliance documentation, or workforce coordination is a valuable asset
A proactive mindset with strong problem-solving skills and the ability to adapt quickly to changing business needs
