Accounts Payable Coordinator

Description
AP Coordinator role involves managing Accounts Payable functions, including recording bills, categorizing expenses, and tracking job and inventory costs. Responsibilities include processing payments, submitting A/P aging reports to executives, verifying invoice accuracy, and coordinating corrections with vendors and colleagues. Additionally, the role encompasses managing employee expense reports, maintaining thorough documentation, organizing invoices and checks for accurate records, addressing vendor inquiries on overdue invoices, overseeing a bill approval process for timely payments, and communicating with customers to update account information as necessary
Requirements
Account Payables
- Record all bills, categorizing expenses into appropriate accounts, and track expenses for jobs and inventory items.
- Process checks for all payables. Submit A/P aging report to the Controller by Wednesday morning.
- Review invoice accuracy and liaise with vendors and colleagues for necessary corrections or modifications.
- Process employee expense reports promptly and ensure accurate documentation for all payments.
- Organize and file invoices and checks to maintain accurate accounting records.
- Address vendor inquiries regarding past due invoices promptly.
- Establish and maintain a bill approval process to ensure timely vendor payments.
- Communicate with customers via calls or mail as needed to update accounts.

- Wear proper PPE when necessary.

- Attend training sessions as required.

COMPETENCIES
EDUCATION
- High school diploma or general education degree (GED) required
- Bachelor’s degree (B.A.) with emphasis in Business, Finance, or Accounting from four-year college or university preferred
CERTIFICATIONS & LICENSES
- No certifications or licenses required for this role
EXPERIENCE
- 2-5 years of related experience with Accounts Payable and bookkeeping
- Experience with QuickBooks is required
TALENTS
- Knowledge of basic accounting principles
- Strong technical accounting skills and knowledge of federal and state regulations, finance, accounting, budgeting, cost control principles including Generally Accepted Accounting Principles, and auditing and regulatory reporting
- Strong computer skills (MS Excel, Word, Outlook, SalesForce, etc.)
- Ability to prioritize and multitask, while maintaining superior attention to detail and accuracy, to meet deadlines
- Ability to thrive in a fast-paced, entrepreneurial environment; flexible with respect to changing needs and tasks; able to work autonomously as well as take direction as needed
