Receptionist/Administrative Assistant

REPORTS TO : Human Resources

PURPOSE: To greet visitors, handle incoming calls and administrative duties as required.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Greet visitors and ensure they are directed to the appropriate person/department.
  • Answer all incoming calls in a timely manner and route calls appropriately.
  • Handle all internal/external mail requirements.
  • Complete daily production reporting in a timely manner as required by Corporate Office.
  • Maintain accurate inventory/replenish of office supplies, safety PPE supplies, janitorial requirements, and any forms which are required within the plant for production.
  • Maintain the Corporate Training Log with all the employee training and maintain the sign-in documentation.
  • Prepare the sign-in sheets for the various training sessions being held.
  • Call in Worker Compensation claims to Broker and maintain EHS hours for monthly OSHA reports.
  • Setup and maintain Worker Compensation claim file for each case and ensure that all paperwork is.

Appropriately recorded.

  • Maintain employee “Safety Points” and fill employee orders from the Safety Store.
  • Order monthly safety lunch cards based on departmental safety record.
  • Update the Loop Video for the lunchrooms.
  • Handle multiple administrative tasks for several departments as requested.
  • Assist with luncheon arrangements for guests and/or special celebrations.
  • Handle and maintain all postings through them.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE

High School Graduate with 2 years' experience in a similar “front office” environment. Knowledge of OSHA laws and recordkeeping very helpful

Must have intermediate Microsoft skills in Word, Excel, and PowerPoint

LANGUAGE SKILLS

Verbal and written English skills required.

MATHEMATICAL SKILLS

Basic math skills: advanced math skills preferred.
