Position Title : Administrative Assistant II
Location: Austin, TX 78744 (South Austin)
Position Type: Temp to Hire | Eligible conversion once 600 hours have been completed
Salary Range : $21-22.50/hr
General Description:
An organization is seeking a detail-oriented and proactive Administrative Assistant to perform complex (journey-level) administrative support work. This role involves coordinating internal administrative tasks such as handling customer calls, managing meeting agendas and logistics, performing data entry, overseeing billing and filing systems, managing procurement activities, and coordinating travel arrangements. The position also responds to requests for program information and assists in preparing and editing reports and documents.
Essential Functions:
- Coordinate procurement activities including ordering, bidding, document preparation, and ensuring invoice approvals and payments.
- Schedule, organize, and coordinate meetings, special project meetings, and training events; manage logistics and preparation of materials.
- Prepare meeting agendas, minutes, spreadsheets, purchase orders, and track interdepartmental documents.
- Communicate with vendors to verify monthly billing; review for accuracy and resolve discrepancies.
- Perform data entry into databases and tracking systems.
- Manage and maintain paper and electronic filing systems; archive documents per record retention schedules.
- Maintain inventory of office supplies and coordinate annual inventory audits.
- Prepare travel requests and arrange travel logistics in line with organizational policies.
- Respond to inquiries regarding general program information, policies, and procedures.
- Assist with data collection, research, analysis, and preparation of reports and program materials.
- Draft, edit, and distribute communication materials such as forms, brochures, newsletters, and reports.
- Handle incoming calls, mail processing, and greet visitors.
Qualifications:
- Minimum of 2 years of experience in administrative support, including office practices, records management, and meeting coordination.
- High school diploma or equivalent required.
- Post-secondary education or certification in Office Administration, Business Administration, or Management preferred.
Knowledge, Skills, and Abilities:
- Knowledge of administrative procedures, office practices, and records management.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and shared database systems.
- Strong filing and document management skills (paper and electronic).
- Excellent written and verbal communication, including proper grammar and composition.
- Strong organizational skills and attention to detail.
- Ability to implement administrative procedures and interpret policies and regulations.
- Capable of developing spreadsheets and managing databases.
- Proficient with email and internet applications.
- Ability to handle multiple tasks and prioritize effectively.
