Full Charge Bookeeper - Controller

We are seeking a dedicated Club Controller to play a crucial role in our financial management and human resources recordkeeping. This essential position supports the General Manager, senior management team, and the Governing Board of Directors by ensuring that our administrative and reporting procedures are effective, allowing the organization to grow while maintaining financial stability and operational efficiency. As the Club Controller, you will be responsible for accurate record-keeping and timely analysis of financial results, which are vital for both short-term and long-term strategic decision-making. We are looking for an energetic and forward-thinking individual with high ethical standards. Integrity, discretion, and professionalism are key, along with a solid understanding of finance, legal compliance, insurance, banking, accounting, budgeting, and human resources/payroll procedures. In this role, you will develop and manage all financial aspects of the Club, including financial planning and analysis, auditing, compliance, treasury, capital project accounting, and financial reporting. **Key Responsibilities**
- Oversee the day-to-day financial activities of the Club, ensuring effective planning, implementation, management, and control.
- Collaborate with the Governing Board on financial resource allocation, taxes, and cash flow management.
- Work closely with the General Manager and senior management team on operational and strategic issues, providing recommendations based on financial analysis and member data.
- Ensure accurate entry of new hires into HR and payroll systems, and maintain proper documentation for onboarding and termination procedures.
- Perform essential accounting tasks, including accounts receivable, accounts payable, payroll, general ledger, tax payments, and inventory control.
- Ensure financial systems comply with Generally Accepted Accounting Principles (GAAP) and monitor fund usage.
- Collaborate with the General Manager and Governing Board on budgeting and cash flow planning.
- Implement approved budgets, monitor progress, and report on operational issues affecting the Club's financial health.
- Assist the Club's CPA firm with the preparation of annual state and federal income tax returns.
- Provide monthly reports on the Club's financial condition, prepare Board Meeting agendas, and document meeting minutes, including presentations for the Annual Shareholder Meeting.
- Maintain a thorough understanding of the Club's bylaws, rules, regulations, organizational structure, and membership procedures.
- Develop accounting procedures to support Club operations, including cash controls, bank deposits, petty cash, and payroll.
- Oversee member billing and timely collection of accounts receivable.
- Prepare financial reporting materials and monitor monthly operating results against the budget, advising management on variances.
- Guide department managers on the financial implications of business activities.
- Manage accounts payable and ensure monthly reconciliation of vendor statements.
- Oversee audit activities, implementing and monitoring internal controls to safeguard the Club's assets.
- Review HR-related procedures and recommend improvements to policies and processes.
- Supervise payroll preparation, disbursements, bank reconciliations, and ensure compliance with wage and hour laws.
- Evaluate and manage employee benefits programs, ensuring competitive offerings while meeting budgetary constraints. Serve as the Administrator for the employee 401(k) program and participate in the oversight committee.
- Manage all insurance-related activities, including General Liability, Workers' Compensation, Health, Dental, Vision, and Disability.
- Oversee the renewal of the Club's liquor license and ensure compliance with regulations. **Candidate Qualifications**
- Extensive knowledge of accounting functions, preferably in a private club environment.
- Exceptional customer service skills and a professional demeanor.
- Strong leadership and management abilities to foster a productive work environment.
- Proficiency in data analysis and financial reporting.
- Excellent written and verbal communication skills.
- Ability to follow and execute verbal and written instructions effectively.
- Professional interaction with supervisors, co-workers, and members. **Supervisory Responsibilities**
- Directly supervise the Accounts Receivable clerk, ensuring compliance with Club policies and applicable laws. **Educational Requirements**
- Bachelor's degree in accounting from a four-year college or university preferred.
- Minimum of 10 years of related experience, including at least five years in a leadership role in accounting or as a Controller.
- Experience in private club or hospitality accounting is preferred.
- Strong leadership and proven supervisory skills.
- Exceptional analytical and problem-solving abilities.
- Strong organizational skills and the ability to manage multiple projects and deadlines.
- Proficient in Microsoft Excel and Word, with experience in club accounting software and financial reporting tools such as Club Essential, Great Plains, and ADP.
