Supply Chain Project Coordinator

POSITION OVERVIEW
The Supply Chain & Project Coordinator is a hybrid operational role at the intersection of procurement, logistics, preconstruction, and contract administration. This individual will ensure materials reach the right job at the right time, support project setup from contract award through mobilization, and coordinate safety and compliance requirements for CSM Industrial’s portfolio of heavy industrial projects in the Gulf Coast area. The ideal candidate thrives in a fast-paced, field-driven environment and can coordinate between PMs, field supervisors, vendors, and clients with minimal oversight.
KEY RESPONSIBILITIES
Purchasing & Material Coordination
• Receive Job Material Requests (JMRs) from Project Managers; confirm warehouse stock and initiate procurement if needed
• Obtain competitive quotes and issue Purchase Orders (POs) using correct job cost codes; coordinate with vendors for delivery confirmation
• Ensure material receivers are printed and routed to the warehouse for accurate receiving
• Track inbound material deliveries and proactively communicate ETA updates to jobsite supervisors
• Lead daily shipping meetings with warehouse and field logistics team to coordinate material flow to active projects
• Maintain consumables inventory (drill bits, gloves, safety glasses, etc.) and reorder proactively to avoid jobsite shortages
Job Setup & Contract Administration (Preconstruction)
• Assign new job numbers and input initial cost codes in ComputerEase upon contract award
• Verify receipt of signed contracts and escalate any gaps prior to mobilization
• Obtain and track tax-exempt certificates from clients where applicable; follow up on outstanding documentation
• Issue Certificates of Insurance (COIs) to customers and clients as required
• Process approved change orders: confirm CO signatures, enter into the system, and input updated cost codes
• Review site-specific drug testing and safety class requirements in advance of crew mobilization
• Coordinate badging and site access requirements with the logistics team and client site administrators
• Review DOT/driver hours requirements and truck driver compliance documentation with logistics coordinator
Safety & Training Coordination
• Coordinate and schedule Safety Council training sessions at the appropriate facilities for new and existing crew
• Arrange and manage third-party on-site safety training (manlift, forklift, bridgeguard, beamguard); procure any required equipment
• Organize in-house safety training programs including Swing Stage and Woods Power Grip certification
• Issue semi-annual safety equipment inspection notices (January and June) and track completion
• Review site-specific safety requirements for each project and communicate requirements to field supervisors in advance
REQUIRED QUALIFICATIONS
• 3–5 years of experience in purchasing, supply chain, project coordination, or construction administration
• Demonstrated ability to read and process vendor quotes, POs, and cost codes in a project-based environment
• Experience coordinating material logistics in a field-operations-driven business (construction, industrial, or oil & gas strongly preferred)
• Familiarity with contract administration tasks such as COI issuance, change order processing, and tax documentation
• Strong organizational skills with the ability to manage multiple active projects simultaneously under deadline pressure
• Effective communicator with vendors, internal teams, and client site contacts
• Proficient in Microsoft Office Suite; experience with ERP or project management systems (ComputerEase a plus)
PREFERRED QUALIFICATIONS
• Background in industrial construction, heavy civil, or specialty contracting in the Gulf Coast market
• Familiarity with refinery, power plant, or LNG facility site access and compliance requirements (badging, safety certifications, etc.)
• Experience with OSHA 10/30 safety training coordination or site-safety compliance administration
• Bilingual English/Spanish a plus given the workforce demographics of the Gulf Coast industrial sector
