2025-26 Secretary, Director Transportation

PRIMARY PURPOSE:
To provide administrative support to the Transportation team at McAllen ISD. This includes, but is not limited to, demonstrating excellent customer service, supporting employee processing, supporting team activities, executing essential department tasks, creating reports, and leading special projects as needed. Act as department liaison with district teams to ensure students receive transportation services needed.
QUALIFICATIONS:
Education/Certification:
High School Diploma or GED, required
Business/Technical School or Associate Degree, preferred
Special Knowledge/Skills:
Strong proficiency in English and Spanish
Strong analytical and problem-solving skills
Ability to prioritize, organize and complete multiple tasks
Ability to work under pressure and meet strict deadlines
Ability to deliver professional and excellent customer service in person and over the phone
Required proficient computer experience (knowledge of basic words, spreadsheet (Excel), and database programs)
Knowledge of payroll, trip invoicing, and compliant record keeping
Knowledge of transportation routing systems
Knowledge in tracking student ridership for school routes
Experience:
Three (3) years of secretarial experience or in a related field, preferred
Three (3) years of customer service experience, preferred

Clerical/Technical Pay Structure : Pay Grade 5
Pay Date: Monthly
Hourly Pay Range:
Minimum: $18.50
Midpoint: $22.16
Maximum: $25.82
Note: Starting pay for a new hire in a pay range plan will be determined individually based on each person's job-related experience and salaries paid to peer employees in the same position with similar experience.
MAJOR RESPONSIBILITIES AND DUTIES/ESSENTIAL FUNCTIONS:
1. Use the customer service model when greeting visitors, screening calls and responding to internal and external inquiries; be well versed in all aspects of department activities and provide accurate information.
2. Perform general office routines, such as, but not limited to: purchase requisition entry and receiving, budget management, data analysis and department reports, calendar management, correspondence distribution, file maintenance, call screening, front office efficiency, etc.
3. Set up work assignments to conform to business and academic calendars and cycles then sequence work to meet expected deadlines and timelines.
4. Support human resources and payroll activities including processing workplace injury claims, posting vacancies, processing new hire tickets, maintaining staff rosters and employee files, and submitting work calendars.
5. Coordinate employee recognition information and events such as service awards, employee of the year, etc.
6. Organize and communicate department trainings, meetings, and events as needed.
7. Serve as the department webmaster and ensure department website is helpful and accurate.
8. Assist the Director with weekly board update, board agenda items, recognitions and board reports.
9. Assist the Director with open records, JPCC and LEAD requests to ensure timely submission.
10. Assist the Director with administrative projects as needed to support the department.
11. Ensures certification and training documentation is completed for employees.
12. Post daily invoices and system transactions to accurately record field trips.
13. Manage employee attendance records to report perfect attendance reports.
14. Understand routes and fields trips thoroughly to support dispatch activities as needed.
15. Coordinate a successful summer transportation program with internal and external partners.
16. Prepare community information materials such as memos, flyers, website updates, press releases to promote transportation activities.
17. Support department audits with data gathering, data reconciliation as needed.
18. Assist the Director with all state reporting duties.
19. Data Analytics: monitor routing systems and other transportation systems, for efficiency and effectiveness of the routes.
20. Make recommendations to modify routes for safety and efficiency.
21. Follow McAllen ISD customer service standards.
22. Perform other duties assigned by immediate supervisor (primary evaluator).
SUPERVISORY RESPONSIBILITIES:

EQUIPMENT USED:
Computers software knowledge (Bus G.P.S. & Routing Systems, Fuel Master System, payroll & timekeeping systems), calculators, fax machine, copier, multi-line telephone system, printers, radio communication equipment, and fuel operating system.

Ability to communicate effectively, concentrate, reason, understand verbal instructions, compute and maintain emotional control under stress; ability to handle several projects at the same time with frequent interruptions
Physical Demands/Environmental Factors:
Occasional district travel, occasional prolonged and irregular hours, repetitive hand motions and sitting, work outside of regular assigned work schedule that may involve night and/or weekend duty as requested to meet strict deadlines.
