Accounts Payable Clerk

As a member of Evergreen Residential’s Accounting team, this person will play a critical role in the day-to-day operational functions of the Company. The Accounts Payable Specialist will track invoices and payments due and prioritize them according to the terms of the invoice. Additionally, they will carefully monitor all payments made and maintain those records for future audits. We are looking for self-motivated people who enjoy a fast-paced, entrepreneurial, and collegial culture, and who are team players willing to pitch-in wherever needed.
This is an office-based position based in Dallas, TX with a 4/1 hybrid work schedule available.
The Role: This position includes, but is not limited to, the following responsibilities :
- Vendor Management: Acting as the primary point of contact for vendors. This involves setting up new vendor profiles, collecting W-9 forms, and bank validation.
- Filing & Documentation: Maintain and organize physical and electronic files for new vendors.
- Payment Disbursement & Logistics: Executes full-cycle check runs, including printing, obtaining authorized signatures, manually preparing mailings, and managing tracking/postage for high-priority vendor payments to ensure timely and documented delivery.
- Opening & Sorting: For physical mail, scanning documents into the system and shredding/filing originals according to company policy
- Identifying Gaps: Finding out if an invoice was lost in the mail or if a check you sent is still "In Transit" (using those tracking numbers you managed).
- Requesting Statements for Reconciliation: Requesting open AR from vendors to reconcile against payables
- Compliance: Ensure all documentation complies with company policies and audit requirements
- Other ad hoc responsibilities as assigned by the manager
Qualifications and Experience: As a relatively new company undergoing significant growth we need someone ready, willing and excited to be part of continuing to build the accounting function.
- High school diploma or GED required, Associate degree or coursework in accounting or business a plus
- 1+ year of experience in an accounting or clerical role, preferably in real estate or property management
- Basic knowledge of accounts payable processes and accounting terminology
- Proficiency with Microsoft Office Suite (especially Excel); experience with accounting software preferred
- Strong organizational skills and attention to detail
- Ability to manage repetitive tasks while maintaining accuracy
