Front and Back Office Assistant

We are seeking a friendly, enthusiastic, and personable front/back office assistant for our busy PLASTIC SURGERY practice. Applicant must be responsible, compassionate, MOTIVATED, and able to work collaboratively as part of a team in a fast-paced environment. Bilingual English/Spanish preferred! Applicants with plastic surgery/aesthetic/medical office experience preferred.

The Front/Back Office Assistant has the following roles and responsibilities:

· Greet all patients upon arrival to the clinic

· Check-In/Check-Out patients

· Answer and route all phone calls to the appropriate party

· Schedule consult, reconsult and follow-up appointments

· Confirm appointments as needed for clinic and office procedures

· Ensure necessary paperwork is ready for each patient (registration, medical history, pre-op packet, weight tracker, etc.)

· Take payments for reconsults and phone pre-ops

· Manage TouchMD on clinic days and ensuring patient photos are up in the proper rooms

· Take VECTRA photos

· Take before/after photos and upload them (Mirror and/or TouchMD)

· Send before/after photos to patients

· Rooming patients (both in clinic and for Pre-Anesthesia)

· Cleaning/turning over rooms (both in clinic and for Pre-Anesthesia)

· May be asked to assist in the back on OR days with duties such as, urine screens, OR turnover and/or helping to discharge patients

· Bill out surgeries at the end of each surgery day

· Monitor the fax inbox and route documents accordingly

· Scan documents in the “pending scan” box

· Prepare medical records requests

· Ensure laundry is completed and put away each day

· Maintain appearance and “readiness” of the front waiting area and media room

· Maintain the breakroom (with help from the team)

· Other duties as assigned

Qualifications and Education Requirements

High School Diploma required

Preferred Skills

Customer service, medical office, social media

Pay: From $15.00 per hour
