Catering Reservations Coordinator
Reservations Coordinator is responsible for generating restaurant revenue by maintaining positive rapport with existing clients and developing new contacts for potential business. Responsible for projecting a professional company image through in-person and phone interaction. Must be committed to La Familia Cortez Restaurants Philosophy and service motto.
Essential Duties and Responsibilities:
- Scheduled for a minimum of 45 hours per week, including lunch and dinner shifts. Should also include evenings and weekends as events require.
- Must be able to coordinate multiple tasks such as drafting proposals, overseeing event setups, handling client phone calls and emails, while maintaining required standards of operation.
- Maintain existing clients by keeping in touch with past clients through phone calls, emails, letters, and personal meetings.
- Establish and maintain great rapport and communication with our guests, team members and vendors.
- Greeting the event planner at the beginning of the event and introducing them to any other key staff (banquet captain, chef, manager, etc.)
- Ensure the bill reflects the costs stated in the contract.
- Responsible for finding new clients to hold reservations or catered events.
- Thorough knowledge of the restaurant and catering menu.
- Responsible for overseeing the set-up of events to make sure they are in-line with client's requests.
- Takes part in business development projects such as the Amigo Cards.
- Tracks catering and reservation sales.
- Promotes restaurant and catering services to the public to gain exposure by calling on local businesses and organizations to help build a steady base of clients.
- Maintains complete files on completed events for future reference on events that may be scheduled.
- Tracks conventions and events each month to keep both management and staff informed on city events.
- Works closely with the billing department to ensure that clients are billed correctly.
Qualifications
Education/Experience
High School Diploma or General Education Degree (GED) preferred. Associates Degree a plus. Experience in restaurant reservations or special event coordination required.
Language Skills
- Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures, government regulations, etc.
- Ability to write reports, business correspondence and procedure manuals.
- Ability to effectively present information and respond to questions from groups of managers, clients, customers and general public.
Mathematical Skills
- Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, square footage, volume, etc.
Reasoning Ability
- Ability to solve practical problems and multi-task.
- Ability to interpret a variety of instructions furnished in written, verbal, diagram or schedule form.
- Ability to oversee various projects and events at once.
Computer Skills
Has the technical knowledge necessary to effectively and efficiently email and use Microsoft Office Products and Outlook tools.
