Job Summary

We are seeking an experienced Construction Billing Specialist to join our team. This role is essential in managing both residential and commercial accounts receivable (A/R) and invoicing, ensuring timely and accurate billing for various construction projects. The ideal candidate will have hands-on experience with residential and commercial billing processes, contract administration, as well as knowledge of construction-specific documentation. A keen eye for detail, organizational skills, and the ability to communicate effectively with internal teams and clients is a must.

Key Responsibilities

  • Complete contract checklist and ensure all necessary documentation is in place.
  • Setup and maintain organized job folders consisting of certain project-related documentation, such as contracts, change orders, pay apps, and correspondence.
  • Obtain insurance certificates, resale/exemption certificates, and ensure compliance with contract terms.
  • Assist with tasks associated with job setup such as badging, drug testing, and fingerprinting when required.
  • Monitor and manage billing cycles, ensuring that invoices are issued on time in accordance with project timelines and payment schedules.
  • Gather subcontractor lien waivers and supplier lien waivers.
  • Prepare accurate and timely invoices using AIA billing documents and lien waivers based on internal billing worksheets, and a detailed review of contracts and change orders, statements of value, work completed, and retainage.
  • Manage and process direct invoicing for residential construction projects, ensuring invoices are issued in accordance with contract terms and payment schedules.
  • Assist with preparation, verification, and submittal of occasional contractually required documentation, such as certified payroll.
  • Communicate with clients regarding billing inquiries, address any discrepancies or disputes, and ensure resolution in a professional and timely manner.
  • Support internal processes associated with tracking of outstanding accounts receivable and collections.
  • Update and maintain internal tracking reports.
  • Knowledge in Billing platforms such as Textura, GCPay, and Procore.
  • Contribute to additional accounting department projects as needed.
  • Stay adaptable to process improvements and procedural changes.

Qualifications

  • Associate’s or Bachelor’s degree in Accounting or related field preferred.
  • Minimum of one (1) year of experience in construction billing, including experience with AIA billing documents, lien waivers, certified payrolls, and insurance/bond documentation.
  • Proficient in Microsoft Office Suite (Excel, Word).
  • Ability to work independently and as part of a team.
