Document Controller ( {{city}})
PURPOSE:
The Document Controller is responsible for the receipt, tracking, distribution, and control of engineering, procurement, construction, and vendor documentation throughout the project lifecycle. This role ensures that all documents are properly maintained in accordance with the projects document management procedures, client requirements, and quality standards. The Document Controller plays a critical role in ensuring project teams have timely access to accurate information.
DUTIES AND RESPONSIBILITIES:
Receive, log, track, and distribute incoming and outgoing project documents (e.g., drawings, specifications, procedures, RFIs, submittals) via the document management system (DMS).
Maintain document registers and ensure proper version control of all documents, including markups and revisions.
Interface with engineering, procurement, construction, subcontractors, and vendors to ensure timely document submission and response.
Ensure compliance with document control procedures, project standards, and client requirements.
Coordinate transmittals and submittals to clients and other stakeholders, maintaining appropriate records.
Provide regular reports on document status, outstanding actions, and overdue items.
Train and support project team members in the use of the document management system.
Archive and close out project documentation in accordance with project and company standards.
Assist in audits and quality reviews related to document control.
Perform additional assignments per supervisors direction.
KNOWLEDGE AND SKILLS:
Strong attention to detail and organizational skills.
Excellent communication and interpersonal skills.
Ability to work under pressure and manage multiple priorities.
Familiarity with engineering drawings, vendor data, and technical documents.
Knowledge of ISO standards and document lifecycle management in EPC environments.
Computer skills and knowledge of Windows, Microsoft Office suite and SharePoint.
General knowledge of using EDMS (i.e. Aconex and Adept)
Demonstrated ability to interact effectively with project personnel and management.
EDUCATION AND WORK EXPERIENCE
High school diploma required, plus a minimum of 5 years of document control experience. OR
Any equivalent combination of experience and training that provides the required knowledge, skills and abilities.
Experience supporting multi-discipline projects with remote teams.
Exposure to both home office and field document control environments.
Familiarity with client turnover and project closeout documentation.
