Subcontractor Coordinator needed in Lewisville! (landscaping company)
Monday to Friday
7:30am to 4:30pm
$20.00 to $22.00 per hour (DOE)
Essential Functions
Monitor the day-to-day processing of work orders and tickets.
Accept and update work orders; submit proposals when needed.
Receive estimates from subcontractors for open/proposed work orders and enter in software system.
Research and address unsatisfactory or delayed work orders and tasks.
Enter new tasks and update information on current tasks.
Follow up with subcontractors to confirm work completion.
Process completed tasks for billing, ensuring line items are entered appropriately.
Assist with initial Certificates of Insurance (COI) requests from new subcontractors.
Assist in preparing subcontractor agreements.
Answer phones, take messages, and respond to routine and non-routine inquiries.
Handle any office-related inquiries from staff.
Review the monthly quality control reports and photos, addressing any issues or concerns as necessary.
Occasionally assist with sorting mail, scanning, faxing, and copying.
Establish, develop, maintain, and update the filing system for the assigned area; retrieve information as needed.
Order office supplies and uniforms.
Work independently and collaboratively with the National Account Manager on special nonrecurring and ongoing projects.
High school diploma or equivalent; bachelor’s degree preferred.
3+ years of customer service or administrative experience; experience in construction, property management, or subcontractor coordination is a plus.
Proficiency in Microsoft Office Suite (Outlook, Excel, Word).
Bilingual: English/Spanish a plus.
Strong communication and interpersonal skills; able to interact professionally with subcontractors, clients, and internal staff.
Highly organized with strong attention to detail and the ability to manage multiple tasks simultaneously.
Problem-solving mindset with the ability to research and resolve issues efficiently.
Comfortable working independently and collaboratively in a fast-paced environment.
Ability to learn and use new software systems quickly.
