Administrative Assistant - Chemical Plant

The Administrative Assistant will assist the day-to-day operation of the Plant Area. The assistant will provide key clerical support for several functions including Operations, Finance, Supply Chain, and Purchasing as the first point of contact and process owner of all goods receipts.
Qualifications
- Knowledge of using SAP
- Knowledge of using Microsoft (Word, Excel, PowerPoint, etc.,)
- Ability to exercise sound judgement in assessing and determining how to handle queries and calls
- Proficiency to Microsoft, Outlook, Excel, and Word
- 2 Years of Administrative Experience in a plant-based setting
- Process owner for Cost Control Work Process
- Reconcile logistics invoices discrepancies “Settling Shipments” for internal and external movements to true up shipment costs, as directed by finance team, and supported by supply chain and purchasing.
- Generate Purchase Requisitions (PRs) and Service Entry Sheet (SES) entries for plant equipment and services
- Work with Finance to address and escalate any pending invoice reviews/approvals with Operations team
- Generate Quality Notifications (QNs) for all third-party service providers, and track performance to close all QN investigations based on business targets (i.e. 30 days or less)
- Primary Goods Receipt Process Owner, utilizing SAP accounting functions to support daily transactions, as well as needed quantity/price adjustments for month end close reconciliations
- Reconcile any company related credit card expenses
- Coordinate and facilitate any plant related scheduling and escorting visitors to/from plant
- Support the Purchase Order (PO) Delivery-date update process which may include escalation to operations, purchasing, and business management for non-conforming lead-times.
- Contractor time sheet review, tracking and signing
- Print and file project documentation in Library
- Internal/External meeting coordination including meetings through WebEx, Microsoft Teams, etc.
- Calendar Management support for designated management
- Work regularly with 3rd party Service Provider (Dow) to ensure MRO Receiving Team, goods receive all material/equipment in a timely and accurate manner to support co’s on-time receipt of material.
- Documentation Control administrator, ensuring files are stored in proper file location after proper reviews are performed. Also maintain file structure, ensuring proper organization of file structure.
- This position is performed entirely on-site at the Freeport, TX office.
- Regular, predictable, and punctual attendance is required.
- Must be able to operate standard office equipment, handle and organize physical files, and move between departments.
- Must be able to lift and carry office supplies, files, and packages up to 20 lbs.
