Operations Manager for Design Firm
Position Overview The Operations Manager will serve as the key point of contact for clients throughout their journey with us, ensuring exceptional communication and service from project kickoff to completion. This role is critical in managing client expectations, streamlining project timelines, and supporting the design team in delivering on schedule and within allotted billable hours. You will oversee the day-to-day operations, monitor design hours and workloads, and implement efficiencies to continually optimize how we work.
Responsibilities
- Own the client experience, maintaining proactive weekly communication to update clients on project status and next steps.
- Manage project timelines and milestones, ensuring the design team stays on schedule.
- Monitor design hours, workloads, and project budgets, providing weekly reporting to leadership.
- Work closely with the design team to anticipate bottlenecks and adjust resources as needed.
- Analyze operational processes and propose improvements to increase efficiency and productivity.
- Coordinate internal meetings and ensure agendas and action items are clear and followed up on.
- Track client feedback and help resolve issues promptly to maintain client satisfaction.
- Collaborate with leadership on strategic planning and performance tracking.
- Support onboarding processes for new clients and ensure a seamless handoff between sales and design.
Qualifications
- Bachelor's degree in Business, Operations, Project Management, or a related field.
- 3+ years of experience in an operations or project management role, preferably in architecture, design, or a creative services firm.
- Strong organizational and time-management skills with meticulous attention to detail.
- Data-driven mindset
- Excellent interpersonal and communication skills; client-centric approach.
- Ability to manage multiple projects simultaneously and thrive in a fast-paced environment.
- Proficiency in project management software like Monday.com and Microsoft Office Suite.

Pay: $65,000.00 - $75,000.00 per year
