JOB TITLE: Director of Listings
PRIMARY FUNCTION:
1. Oversee and manage all listing-related activities within the Screening Services division to ensure accuracy, compliance, and timely publication.
2. Lead the implementation and configuration of the Customer Relationship Management (CRM) system, including completion of prerequisite data entry, workflow definition, and sales-team enablement.
3. Provide strategic guidance on best practices for sales activities and collaborate with technology teams to modernize and update the web-based application (app) and associated listing portals.
DUTIES & RESPONSIBILITIES:
CRM Implementation & Management
Coordinate with applicable departments and third-party vendors to define CRM requirements specific to listing creation, screening workflows, and client communications.
Complete all prerequisite activities within the CRM—data imports, user role setup, permission structures, and custom field configurations—to support listing intake and tracking.
Develop and document standard operating procedures (SOPs) for sales and listing users on CRM best practices, including lead qualification, opportunity management, and pipeline reporting.
Train sales and operations teams on CRM functionality for listing generation, status updates, and performance dashboards; serve as the internal subject-matter expert for ongoing system enhancements.
Listing Strategy & Quality Assurance
Define, document, and enforce standardized listing criteria, data fields, and quality checkpoints to ensure consistency, accuracy, and compliance with regulatory requirements.
Perform regular audits of listing data—verifying that all properties or services meet internal guidelines, user expectations, and external disclosure mandates.
Collaborate with cross-functional stakeholders (Sales, Legal, Compliance, Marketing) to update listing templates and web-portal displays in alignment with evolving industry standards.
Analyze listing performance metrics (e.g., time-to-publish, user engagement, conversion rates) and provide actionable feedback to improve content, searchability, and overall client satisfaction.
Sales Enablement & Best Practices
Partner with the VP of Screening Services to design and deliver training sessions, sales playbooks, and job aids that leverage CRM capabilities to drive listing volume and conversion.
Monitor competition benchmarks and industry trends related to property/service listings and screening to recommend enhancements that differentiate ETA07 in the marketplace.
Collaborate with Marketing to ensure listing promotions, website content, and digital assets are aligned with updated procedures and compliance policies.
Facilitate regular “best-practice” workshops, sharing insights on lead nurturing, follow-up cadences, and cross-selling opportunities within the CRM environment.
Stakeholder Engagement & Reporting
Serve as the primary liaison between Sales, Operations, Programming Department, and Compliance to resolve escalations, clarify requirements, and maintain open lines of communication regarding listing processes.
Prepare and present monthly performance reports on listing activity metrics—such as new listings added, listing turnaround time, CRM adoption rates, and system utilization statistics—to executive leadership.
Identify areas for process improvement and cost savings related to listing workflows, negotiating resource allocation or third-party vendor support as needed.
Participate in quarterly strategic planning sessions with the VP of Screening Services and broader leadership team to align listing initiatives with corporate goals.
TOOLS, EQUIPMENT AND MACHINES:
Proficiency in CRM platforms (e.g., Salesforce, HubSpot, Microsoft Dynamics) and related data-management tools.
Advanced skills in Microsoft Office Suite (Excel, Word, PowerPoint), including the ability to create pivot tables, charts, and executive-level presentations.
Familiarity with web-based content management systems (CMS).
QUALIFICATIONS:
Must at a minimum be a high school graduate, or hold a GED certificate, or,
Must have 5-years related experience
Product knowledge.
HAZARDOUS MATERIALS TRAINING
Applicable SDS as required.
TRAINING:
CRM Security, Compliance & Regulatory Updates: Periodic sessions covering federal/state regulations impacting listing disclosures, and Professional Development.
Job Type: Full-time
Pay: $60,000.00 - $80,000.00 per year
