Administrative Assistant
ParkEPS is seeking a highly organized and dependable Administrative Assistant to provide day-to-day administrative and operational support to its engineering and business teams. The successful candidate will help coordinate schedules, maintain records, prepare documents, and ensure administrative processes run smoothly.
Key Responsibilities
- Provide administrative support to engineering, project management, and leadership teams.
- Prepare, format, and maintain reports, correspondence, spreadsheets, and business documents.
- Manage calendars, meetings, appointments, and internal schedules.
- Maintain accurate electronic and physical records.
- Enter and update project, customer, vendor, and administrative information.
- Assist with preparing project documentation, presentations, and meeting materials.
- Coordinate internal communications and respond to routine inquiries.
- Organize and maintain files to ensure documents are easily accessible.
- Assist with processing invoices, purchase orders, expense reports, and other administrative records.
- Track project-related information and follow up on outstanding administrative tasks.
- Coordinate with vendors, clients, and internal departments when necessary.
- Assist with office supply management and general office organization.
- Support onboarding and other employee-related administrative activities.
- Handle confidential business and personnel information appropriately.
- Perform other administrative duties as assigned.
Qualifications
- High school diploma or equivalent; associate degree preferred.
- 2+ years of experience in administrative support or a similar role.
- Strong organizational and time-management skills.
- Excellent written and verbal communication abilities.
- Strong attention to detail and accuracy.
- Proficiency with Microsoft Office, particularly Word, Excel, and Outlook.
- Ability to manage multiple priorities and meet deadlines.
- Professional and courteous approach when interacting with clients, vendors, and colleagues.
- Ability to work independently while also contributing effectively to a team.
- Experience supporting engineering, technical, construction, energy, or professional-services organizations is a plus.
