Admissions Assistant
Under the supervision of the Admissions and Enrollment Manager, the Admissions Assistant have a compassionate approach to working with children and families, and effectively interface with families of diverse economic, social, ethnic, and linguistic backgrounds.

ESSENTIAL FUNCTIONS / RESPONSIBILITIES

Job Duties
- Maintains confidentiality of all child and family records, organizes documentation, and completes required family case notes according to procedures.
- When needed, assist in recording messages from the main phone lines.
- Performs computer data entry, filing, note taking, and other clerical duties as needed.
- Meet as needed with the Supervisor to report, problem-solve, and plan regarding position responsibilities.
- Schedule Child play group observation, the Admissions Assistant contacts families from the Child Plus data base, under “accepted” campus class lists to determine who is still interested in services. If the family is interested in services, the observation is scheduled during this time. If the parent/guardian is no longer interested in services, this is also documented in Child Plus and communicated to the Admission and Enrollment Manager and Admission and Enrollment Associate. The Admissions Assistant scheduling the observation documents in Child Plus, under enrollment notes, includes staff signature and date/time stamp, scheduled observation date and time. This also includes follow-up notes on the child's final placement and potential child needs/levels: health (allergies, health issues, etc.), potty training, and/or Speech and Language (S/L), Behavior (BH), and/or Social Emotional (SE), use the following codes:(1) mild, (2) moderate (3) severe. Example: S/L (1).
- In addition, the Admissions Assistant creates an outlook event calendar to schedule child/family appointments including Campus supervisor, Regional Manager, Mental Health/Special Needs Manager, Social Emotional Specialist, Admissions and Enrollment Associate and Admissions and Enrollment Manager.
7. When scheduling an observation, the Admissions Assistant informs the potential parent/guardian that a child play group observation is made with all families with toddler or preschool age children interested in enrolling and is part of our enrollment/placement process to individualize children's needs and determine the best service placement for their child. Follow the Child Play Group Procedure.
- The Admissions Assistant prepares the observation packet by viewing CP eligibility notes and filling out the Enrollment and Placement Form and Prescreening Child Playgroup Observation tool. If needed and available, also include copies of: Individualized Educational Plans (IEP) or Individualized Family Support Plan (IFSP), special medical documents or a copy of any health condition.
- When the observation is done the Admissions Assistant uploads the child observation in Child Plus under Enrollment.
- The Admissions Assistant keeps track and follows up with the child observation participants in Excel.

- Maintain personal safety, use personal protection equipment (PPE) and follow Company policies.
- Report all and any safety issues, accidents or injuries to your manager as a matter of priority.
POSITION QUALIFICATION REQUIREMENTS
Education : Highschool, GED or AS Degree with an emphasis in Social Work, Counseling, Psychology, Human Services, Family Development, Family Studies, Criminal Justice or related field.
Experience : Preferred 2+ years' experience working in a community-based setting with high-risk families who have experienced poverty, crisis, trauma and other adverse events. Work experience with a social service agency, community work, low-income families, diverse populations and/or commensurable work experience, training or qualifications.
Requirements :
- Current Physical Health Screening (every 2 years thereafter)
- Fingerprinting Clearance (DOJ)
- Current Immunizations (TB, Influenza, MMR, Pertussis) (must be kept current)
- Clearance Child Abuse Index
Language(s) : Fluent, English/Spanish

Software: Proficiency in Microsoft Office applications: Outlook, Word, Excel, and Internet Explorer.
Decision Making: Set priorities and standards of performance; Develop plans by which work can be accomplished.
Tools and Equipment: General office equipment, fax, copier, printer, phone, and computer.
Confidential and Sensitive Information: Maintain the highest level of confidentiality when dealing with client records.
Physical Demands
While performing the duties of this job the individual is required to sit approximately 80% of the time, walk 10% of the time and stand 10% of the time. The individual is frequently required to use hands and fingers to type or handle, feel, and operate objects. The individual is required to occasionally lift and/or move up to 25 pounds. While performing the duties of this job the individual is occasionally required to reach with hands and arms. An individual is frequently required to speak and listen. Specific vision abilities of these job duties include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
