DESCRIPTION

We are looking for a talented Project Administrator: Commercial Power Generation to join our team in Sales in Dallas, TX.

In this role, you will make an impact in the following ways: 

  • Serve as a reliable project resource by supporting day‑to‑day project activities, applying foundational project management practices and general business understanding to keep work moving efficiently.
  • Track and resolve project issues by identifying risks and concerns early, collaborating with cross‑functional partners, and escalating appropriately to support timely resolution.
  • Monitor and communicate project status by maintaining clear visibility into milestones, deliverables, and dependencies, and ensuring consistent updates to the project team and Project Manager.
  • Support project planning and financial oversight through budget tracking, research, and analytical support, contributing to the development of project plans, timelines, and resource forecasts.
  • Assist with project risk management and quality assurance by using established quality tools to identify risk areas and support mitigation planning throughout the project lifecycle.
  • Capture and share project learnings by documenting outcomes, best practices, and insights, and applying lessons learned from past experiences to improve project execution and collaboration.
  • Maintain accurate project records and measures by managing project notes, databases, and reporting tools, and monitoring progress on specific assignments to support informed decision‑making.
  • Manage defined portions of projects and provide operational support by overseeing well‑scoped tasks, handling administrative and logistical needs, and enabling the project team and Project Manager to focus on strategic priorities.

  • End‑to‑end project management execution The ability to manage scope, schedule, resources, and deliverables using recommended project management processes—ensuring project results achieve their intended impact.
  • Effective management of project resources and schedules Experience developing and maintaining expense, headcount, and schedule plans, and using these tools proactively to keep work on track and within agreed constraints.
  • Audience‑aware delivery of complex content The skill to adapt messaging for diverse audiences—such as internal partners, customers, or vendors—so information is understood, retained, and applied effectively.

QUALIFICATIONS

Education, Licenses, Certifications:

  • College, university, or equivalent degree required.
  • This position may require licensing for compliance with export controls or sanctions regulations.

Experience:

  • Minimal level of relevant work experience required.
  • Cross-Functional and External Coordination: Proactively engage with internal stakeholders (sales, finance, project management) and external customers or partners to obtain missing or corrected documentation, resolve discrepancies, and ensure projects are fully prepared for credit review.
  • Data Integrity and Process Flow Management: Maintain accurate project records, track documentation status, and move projects forward efficiently through the credit approval workflow, ensuring visibility, accountability, and adherence to timelines.

Additional Responsibilities:

  1. Project Documentation Review and Readiness
  2. Review all open projects to ensure complete, accurate, and compliant documentation prior to submission for credit approval. This includes, but is not limited to, Purchase Orders or Letters of Intent, tax documentation, bonding documentation, and completion of a Project Information Sheet when required.
  3. Cross-Functional and External Coordination
  4. Proactively engage with internal stakeholders (sales, finance, project management) and external customers or partners to obtain missing or corrected documentation, resolve discrepancies, and ensure projects are fully prepared for credit review.
  5. Data Integrity and Process Flow Management
  6. Maintain accurate project records, track documentation status, and move projects forward efficiently through the credit approval workflow, ensuring visibility, accountability, and adherence to timelines.

Required Skills, Education, or Experience:

  1. Strong Time Management and Prioritization Skills
  2. Demonstrated ability to manage multiple projects simultaneously, prioritize competing deadlines, and ensure timely completion of documentation and approvals in a fast-paced environment.
  3. High Attention to Detail and Data Accuracy
  4. Proven capability to review, validate, and maintain accurate data across multiple systems, identifying gaps or inconsistencies and taking corrective action.
  5. Organizational and Process Discipline
  6. Ability to organize large volumes of project data and documentation, follow standardized processes, and maintain clear tracking mechanisms to support auditability and reporting.
  7. Effective Communication Skills
  8. Ability to communicate clearly and professionally, both written and verbal, when coordinating with internal teams and external parties to request, clarify, and follow up on required information.

Preferred Skills, Education, or Experience:

  1. Prior Experience in Data Entry or Data Management
  2. Experience working with structured data, document control, or project tracking systems is preferred.
  3. Familiarity with Credit Approval or Financial Documentation Processes
  4. Exposure to credit review workflows, financial documentation, or compliance-driven processes is a plus but not required.
