Business Office Manager
Job Summary:
The Business Office Manager is responsible for overseeing and managing the surgery center’s revenue cycle operations with a focus on performance, compliance, and continuous improvement. This role provides strategic oversight of billing and accounts receivable functions, manages relationships with external revenue cycle vendors, and serves as a subject matter expert for revenue cycle operations. The Business Office Manager partners with leadership to ensure operational efficiency, financial performance, and regulatory compliance.
Duties/Responsibilities:
§ Manage and assess the performance of external Revenue Cycle Management (RCM) vendors, including monitoring key performance indicators, service levels, and contractual expectations.
§ Serve as the primary point of contact for all RCM vendors, ensuring alignment with organizational objectives and timely resolution of issues.
§ Oversee billing, accounts receivable, collections, and denial management processes to ensure accuracy, timeliness, and compliance.
§ Analyze revenue cycle performance, payer trends, and denial patterns; recommend and implement process or vendor-related improvements.
§ Ensure effective communication and information flow between the ASC, vendors, and executive leadership related to revenue cycle operations.
§ Act as the subject matter expert for ASC billing, accounts receivable, and revenue cycle workflows.
§ Review current workflows and identify opportunities for operational efficiency, risk reduction, and performance improvement.
§ Develop, maintain, and enforce billing policies, procedures, and best practices.
§ Ensure compliance with applicable federal, state, payer, and regulatory requirements related to billing and revenue cycle operations.
§ Prepare and present revenue cycle performance reports, including KPI tracking and trend analysis, to leadership.
§ Provide leadership and guidance to business office staff, including setting expectations, supporting training, promoting accountability, and overseeing day-to-day performance.
§ Serve as an escalation point for complex billing, payer, and accounts receivable matters.
§ Perform other related duties as assigned.
Required Skills/Abilities:
§ Strong knowledge of revenue cycle operations, including billing, accounts receivable, denials management, and payer regulations.
§ Demonstrated ability to manage vendor performance and evaluate service outcomes.
§ Strong analytical skills with the ability to interpret data and performance metrics to drive improvement.
§ Excellent communication and interpersonal skills, with the ability to collaborate across departments and with external partners.
§ Proven organizational and time management skills with the ability to manage multiple priorities.
§ Strong problem-solving skills and sound judgment.
§ Proficiency with electronic medical records, billing systems, and standard office software.
Education and Experience:
§ High school diploma or equivalent required.
§ Bachelor’s degree in healthcare administration, business, finance, or a related field preferred.
§ Five or more years of progressive experience in medical billing or revenue cycle operations, preferably in an ASC or similar healthcare setting.
§ Prior experience managing or overseeing revenue cycle vendors required.
§ Prior leadership or management experience preferred.
