The Accounting Manager is responsible for, but not limited to, all administrative tasks associated with the following:
Supervises Administrative Assistant
Tasks:
- Primary incoming phone call reception
- Daily Time Cards – responsible for entering hours for every hourly employee into the Overtime Spreadsheet file. This task is to be completed by 8:30AM daily. Copies to be made and provided to all applicable personnel.
- Payroll processing – weekly
- Direct Deposit
- Hard Checks
- Payroll Taxes
- Tracking and accounting of employee advances/check deductions
- Quarterly Payroll Tax reporting
- New Hire/Employee Benefits – responsible for insuring that all employment paperwork is properly filled out and complete prior to work beginning inclusive of benefit application, etc. Pre-employment drug testing coordination, if required.
- Deposits –
- company endorsement on back of checks, deposit slip completed including check #, customer name, invoice numbers payment applies to, check amount and total deposit amount. Paid Invoices to be pulled. Insure deposit is made that day.
- Cash Receipts Entry into MAS
- Inventory
- Maintaining Inventory purchase Items with:
- vendor part number
- Description
- iii.Lot #, if applicable
- iv.Cost
- Maintaining accurate on-hand quantities in SAGE (Supply/material items)
- Regular, as required, physical counts
- Inventory Issues/Adjustments
- Maintaining Inventory purchase Items with:
- Purchasing – responsible for daily/weekly
- Organization and mailing of A/P Checks
- 10.Online Banking
- Filing – responsible for maintaining all vendor and customer account files.
- Confidential document shredding – all “trash” paperwork that contains customer and/or vendor information is to be shredded daily.
- Other duties as assigned
