Job Title: Aquarium Service Team Coordinator

Department: Aquarium Services / Operations
Reports To: Operations Manager or General Manager
Employment Type: Full-time

Position Summary:

The Aquarium Service Team Coordinator is responsible for leading, scheduling, and supporting the service technicians responsible for maintaining client aquariums. This role ensures timely, high-quality service delivery, manages client communications, and helps maintain the overall operational efficiency of the aquarium service department.

Key Responsibilities:

• Team Coordination & Scheduling

  • Create and manage daily/weekly technician schedules for aquarium maintenance.

  • Assign jobs based on technician expertise, location, and equipment availability.

  • Track and approve technician hours, time off, and field reports.

• Client Relationship Management

  • Act as a primary point of contact for clients regarding service scheduling and follow-ups.

  • Respond to service inquiries, schedule emergency visits, and resolve client concerns.

  • Maintain up-to-date client records and service logs.

    • CRM inplementation with new software system - Jobber

• Operations & Logistics

  • Ensure service vehicles are stocked with required tools, supplies, and livestock.

  • Order equipment, livestock, and water treatment materials as needed.

  • Coordinate livestock acclimation and transportation to client locations.

• Compliance & Quality Assurance

  • Ensure all technicians follow company safety and care protocols.

  • Conduct quality checks and customer satisfaction follow-ups.

  • Help maintain high standards of cleanliness, animal care, and equipment maintenance.

Qualifications:

• High school diploma or GED required

• Prior leadership or coordination experience strongly preferred.

• Strong organizational and communication skills.

Preferred Skills:

• Bilingual preferred but not necessary.

• Experience with CRM software or scheduling tools.

• Aquarium plumbing, lighting, and filtration troubleshooting.

• Customer service or sales background in a related industry.
