Accounts Payable Specialist

We are a fast-growing Texas-based company known for exceptional customer service, operational excellence, and innovation in the moving and storage industry. We are looking for a dependable, detail-oriented Accounts Payable Specialist to join our Accounting & Finance team.
This is an in-office role, not remote, for someone who enjoys solving problems, staying organized, and keeping financial operations running smoothly in a fast-paced environment.
Position Overview
The Accounts Payable Specialist will be responsible for managing high-volume accounts payable functions across multiple entities while supporting accurate financial reporting and operational processes.
The ideal candidate is proactive, organized, analytical, and comfortable working independently while collaborating with leadership and operations teams. This role requires strong attention to detail, accountability, and the ability to manage deadlines in a high-transaction environment.
Responsibilities
- Process high-volume accounts payable transactions accurately and timely
- Review invoices, coding, approvals, and supporting documentation
- Reconcile vendor statements and resolve discrepancies
- Maintain accurate records across multiple entities
- Assist with month-end close processes, including reconciliations and journal entries
- Reconcile bank accounts and credit card transactions
- Monitor outstanding balances and communicate with vendors as needed
- Support sales tax, franchise tax, and compliance reporting
- Prepare internal reports and supporting schedules
- Assist with cash sales, sales orders, deposits, and invoice reconciliation
- Maintain organized accounting files and documentation
- Open, distribute, and scan incoming daily mail
- Assist with driver loan documentation and payment tracking
- Coordinate vehicle title processing, registrations, and related record management
- Manage lien-related documentation for vehicle titles
- Collaborate with accounting, operations, and leadership teams to improve processes and reporting accuracy
- Communicate professionally with vendors, drivers, customers, and coworkers regarding accounting-related matters
Qualifications
- Bachelor’s degree in Accounting required
- 3+ years of accounting or accounts payable experience
- Bilingual in English and Spanish required
- Experience in high-volume accounts payable environments preferred
- Strong understanding of accrual accounting principles
- Experience with NetSuite preferred
- Advanced proficiency in Microsoft Excel
- Strong reconciliation and problem-solving skills
- High attention to detail and accuracy
- Ability to prioritize tasks and manage deadlines
- Excellent communication and organizational skills
- Experience working in multi-entity environments is a plus
