ABOUT PARK BOARD OF TRUSTEES AND VISIT GALVESTON
In 1963, the citizens of Galveston voted to create a specialized unit of government called the Park Board of Trustees of the City of Galveston. The organization is responsible for overseeing Galveston's tourism efforts, Galveston Island Beach Patrol (GIPB) and Coastal Zone Management (CZM). The Park Board is funded primarily through Hotel Occupancy Tax (HOT) and beach user fees for the six parks that they manage. Tourism pays for tourism as no sales or property tax is collected by the Park Board. The nine-member board is comprised of volunteer residents with diverse business backgrounds. Each is required to serve at least two years and must also serve on one of the Park Board's advisory committees.

A DAY IN THE LIFE OF AN EXECUTIVE ASSISTANT AND ACCOUNTING SPECIALIST
As an Executive Assistant and Accounting Specialist, you provide high-level support to our Chief Executive Officer and Chief Financial Officer. Your professional competency is invaluable as you prioritize multiple administrative tasks such as calendar management, meeting coordination, responding to calls/emails, travel coordination, and maintenance of administrative files. Thanks to your keen organizational and planning abilities, training sessions, activities, and office meetings are scheduled and carried out in a timely and effective manner. You arrive at meetings prepared with an agenda, informational packets, and/or a visual presentation as requested. An attentive listener, you take minutes and provide follow-up support afterward.
Your strong customer service skills and understanding of financial software and short-term rental regulations allow you to effectively assist hotel occupancy taxpayers with registration and payment questions in-person, over the phone, or by email. You assist accounting staff with data entry, posting payments, running reports, and maintaining files.
In addition to your valuable administrative abilities, you also have strong financial skills. You're responsible for handling procurement duties, including creating purchase requisitions, processing invoices, submitting purchase orders, and reconciling credit card accounts. When it comes to financial recordkeeping, you're a whiz! Using accounting software and an electronic filing system, you generate expense reports, assist with budget planning and tracking, and produce other reports as needed. QUALIFICATIONS FOR AN EXECUTIVE ASSISTANT AND ACCOUNTING SPECIALIST
- Associate degree in business administration or a related field OR 5+ years of relevant administrative, accounting, and budgeting experience
- 2+ years of experience in business or office management
- Proficiency with Microsoft Office Suite, including Word, Excel, and PowerPoint
- Familiarity with payroll and accounting software, including QuickBooks
- Valid Class C driver's license
- Willingness to receive training to become a Certified Tourism Ambassador

WORK SCHEDULE FOR AN EXECUTIVE ASSISTANT AND ACCOUNTING SPECIALIST
This administrative position typically works Monday - Friday, 8:30 AM - 5:00 PM. Occasional early morning, evening, weekend, and holiday hours may be required depending on operational needs and deadlines. This job may require some travel both within and outside of the Galveston area.
