Office Coordinator
Openwork is currently engaged in a search to find an Office Coordinator for a growing and innovative company. In this role, you'll be responsible for managing day-to-day office operations, supporting leadership, coordinating administrative functions, and ensuring the office runs efficiently. This is a great opportunity for someone highly organized, detail-oriented, and proactive who enjoys wearing multiple hats in a fast-paced environment.
As an Office Coordinator, you'll be responsible for:
- Answering and routing incoming calls, taking messages, and handling general inquiries professionally.
- Coordinating office supplies, monitoring inventory levels, and placing orders as needed.
- Paying office bills accurately and on time while tracking recurring payments and due dates.
- Tracking and categorizing office expenses and assisting with basic bookkeeping functions.
- Receiving and distributing mail, deliveries, and greeting visitors and vendors.
- Maintaining a clean, organized, and functional office environment.
- Supporting scheduling, meeting coordination, and conference room bookings.
- Assisting with new hire onboarding logistics, including desk setup, supplies, and building access.
- Maintaining filing systems and organizing office records and documentation.
- Coordinating office events, lunches, employee celebrations, and special projects.
- Providing administrative support to the CEO and leadership team as needed.
- Taking on additional office management and administrative responsibilities as they arise.
What you'll need:
- Minimum of 2 years of experience in an administrative, office coordinator, or office assistant role.
- Strong organizational skills with exceptional attention to detail.
- Experience managing invoices, expenses, due dates, and office-related administrative tasks.
- Dependable, punctual, and able to take ownership of office operations.
- Ability to manage multiple priorities while maintaining accuracy.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office, email platforms, and calendar management.
- Basic bookkeeping experience preferred.
- Professional demeanor with the ability to handle confidential information discreetly.
- Positive, team-oriented attitude and willingness to support a variety of business functions.
Perks:
- $50,000 - $60,000 annual salary, depending on experience.
