Receptionist

About the Firm: For 50 years, our client has been a trusted leader in the mortgage and residential lending industry, delivering accurate, compliant, and timely legal closing documentation for more than 5 million transactions nationwide. Known for consistency, expertise, and attention to detail, they are a long-standing partner to leading mortgage lenders across the U.S. Role Overview: As the firm’s Receptionist, you will be the face and voice of the organization. This position plays a vital role in maintaining the firm’s professional image, client experience, and daily operational flow.You will interact with executives, clients, visitors, and internal team members, requiring discretion, sound judgment, and polished communication skills.
This role is designed for a professional who enjoys owning the front desk function and does not view the position as a transition into other departments. The firm values stability, consistency, and long-term commitment in this position. Key Responsibilities:
- Serve as the primary point of contact, greeting all visitors and clients with professionalism and warmth
- Answer, screen, transfer, and manage high call volume using a multi-line phone system with accuracy and efficiency
- Maintain a polished, organized, and professional reception and lobby area at all times
- Manage incoming and outgoing mail, deliveries, and courier services
- Coordinate meeting logistics and provide scheduling support as needed
- Provide administrative support across departments when required
- Monitor visitor access and follow established security protocols
- Minimum of 5 years of professional receptionist or front-office experience in a corporate, legal, or financial services environment
- Demonstrated experience operating a multi-line phone system in a high-volume professional setting
- Strong verbal, written, and interpersonal communication skills
- Exceptional organizational and multitasking abilities
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Professional maturity and emotional intelligence; you remain calm, discreet, and neutral in all situations
- A preference for consistency and routine within a structured office environment
- A team-first mindset with no interest in office politics or internal drama
- High attention to detail and commitment to accuracy
- Sound judgment, reliability, and a polished, composed demeanor
- Adherence to business-professional presentation standards
