About the Role

Word of Mouth Fine Catering, a proud member of MML Hospitality, is seeking a Distribution
Manager to oversee wholesale bakery operations. The Distribution Manager will ensure
seamless packing and prompt delivery of all products to internal and external clients. This role
leads and mentors a team of packers, drivers, and dishwashers, collaborating closely with the
Head Baker and Sales Manager to orchestrate daily operations. Responsibilities include fleet
management, route optimization, customer interaction, and overall operational excellence.

Key Focus Areas
The Distribution Manager will be responsible for optimizing and managing wholesale
distribution operations with a focus on:

  • Outfitting vans – ensuring racks and shelves are properly installed and organized.
  • Delivery routes – consolidating to two routes where possible and minimizing repeat visits; proper shelving will help eliminate double trips.
  • Driver organization – maintaining clipboards, keys, end-of-day (EOD) reports, and promoting maintenance awareness.
  • Packing systems and streamlining – establishing inventory pars, tracking wholesale delivery items (cambros, lexans, etc.), and ensuring timely returns from restaurants.
  • Scheduling – monitoring overtime, assisting with catering deliveries, and managing workloads to prevent time theft.
  • Invoicing and accounts receivable + customer management – ensuring timely invoicing, tracking payments, and checking in with accounts for quality control and customer satisfaction.
  • MS management – using systems to their full potential, including adding new inventory items and ensuring accurate exports to QuickBooks.
Responsibilities
  • Oversee daily wholesale distribution operations, ensuring accurate packing, timely departures, and on-time deliveries.
  • Manage and supervise packing and delivery teams, including hiring, training, scheduling, and performance accountability.
  • Create and optimize delivery routes to maximize efficiency, consistency, and customer satisfaction.
  • Maintain strict quality control standards to ensure error-free order fulfillment.
  • Serve as the primary point of contact for wholesale customer inquiries, concerns, and service issues.
  • Oversee accounts receivable for wholesale accounts, including invoicing, payment tracking, and follow-up on past-due balances.
  • Export and distribute invoices, ensuring timely payment.
  • Onboard new wholesale customers, including account setup, pricing, delivery schedules, and autopay enrollment.
  • Maintain strong relationships with wholesale customers through proactive communication.
  • Oversee the maintenance, safety, and cleanliness of the delivery fleet.
  • Coordinate vehicle inspections, routine maintenance, and repairs.
  • Maintain accurate operational, billing, and fleet records.
  • Identify and implement process improvements to increase efficiency, accuracy, and reliability.

Requirements
  • Minimum 2 years of experience in catering operations, logistics, event production, or hospitality operations
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
  • Experience with fleet management, route optimization, and driver organization
  • Skilled in packing systems, inventory management, and establishing pars for wholesale delivery inventory
  • Proficient in scheduling, monitoring workloads, and managing overtime
  • Experience with invoicing, accounts receivable, and customer satisfaction follow-ups
  • Proficiency with inventory and management systems, including exports to QuickBooks
  • Excellent written and verbal communication skills
  • Availability to work evenings, weekends, and holidays as required
  • Ability to stand, move, and lift up to 50 lbs
  • Reliable transportation required

This role requires regular standing, walking, reaching, and lifting up to 50 pounds. Employees
