: General Summary:

The Office of the Chief Information Officer (OCIO) seeks a dynamic CIO Executive Assistant (EA) to provide a high-level full scope of Technology EA services. The ideal candidate has extensive experience working with executives, understands the roles and activities of a Technology department, can solve problems, is intuitive, and can think on their feet. Ability to interpret various instructions, show understanding, friendliness, courtesy, tact, empathy, executive presence, and politeness to others, and develop and maintain effective relationships within DART and external relations. Has a keen attention to detail and can write business reports and correspondence. Currently, the position serves onsite and remote. The CIO Executive Assistant is the primary point of contact for internal and external constituencies on most matters pertaining to the Chief Information Officer. The CIO EA also liaises with the EAs of the senior leadership teams, organizes and coordinates executive outreach and external relations efforts, and oversees special projects. The position will interact not only with all employees but with DART partners.

Essential Duties and Responsibilities:
  • Provides administrative support to the Vice President & Chief Information Officer.
  • Maintains confidentiality at all times, communicates across the organization with discretion, and shares information professionally.
  • Administrative support of the development of the Vice President & CIO's strategic vision and roadmap to enable technology through initiatives to be technically applicable, actionable, and measurable in a public sector transit environment.
  • Responsible for the organization and management of the OCIO work flow.
  • Performs complex administrative and technical functions for the department.
  • Handle and distribute incoming and outgoing mail. Create and maintain computer- and paper-based filing and organization systems for records, reports, documents, etc.
  • Prepares and researches presentations, emails, announcements, and other correspondence professionally.
  • Provide executive-level administrative support to the CIO and the Technology leadership team. Arrange schedules and meetings, travel, distribute information, prepare reports and presentations, perform other administrative tasks to ensure an efficient working environment, and carry out special projects.
  • Performs technology administrative duties such as board agenda reports, presentation development, special projects, annual reports, spreadsheets, etc., as required.
  • Expert-level proficiency in MS Office products is required.
  • Maintains message system to include tracking staff, answering, screening, routing incoming calls, and taking messages if necessary.
  • Receives and greets visitors and guests.
  • Arrange, lead, and administer various committees on behalf of the CIO.
  • Composes letters, correspondence, and memos requiring independent judgment as to content and prepares responses to inquiries when necessary.
  • Utilizes word processing equipment and computers to create, process, and maintain various documents and administrative records containing technical information and difficult formats.
  • Provides support in contract administration of the Department's on-call contracts, including but not limited to the processing of work directives, invoices, and contract close-outs.
  • Receives, controls, and routes department correspondence.
  • Handles and directs inquiries regarding department activities.
  • Cultivates positive employee relations and morale. Practice sound leadership and management principles to promote a strong culture of teamwork.
  • Prepare and coordinate Board agenda items with the assistant from staff and the executive administration.
  • Maintains appointment calendars and department filing system.
  • Capture meeting notes, compile agendas, attend staff meetings, prepare, and distribute minutes, and provide assistance in any required follow-ups.
  • Assists in adhoc projects as necessary.
  • Performs other duties as assigned.
Minimum Knowledge, Skills, and Abilities Required:
  • Associate's degree from an accredited college or university in Business Administration or related field. A bachelor's degree and Certified Administrative Professional (CAP) credential are preferred.
  • Five (5) years of administrative and clerical experience in an executive-level office or related environment.
  • Must have typing abilities: Type at 65 wpm. Expert proficiency with computer usage; software applications such as Windows, word processing, PowerPoint presentations, spreadsheets, and databases; typical office equipment.
  • Prior work experience in a fast-paced setting is preferable. Technology industry, transit, or public sector experience is a plus.
  • Excellent Microsoft Office skills, including advanced PowerPoint, Word, and Excel.
  • Must have high professional integrity and work safely, effectively, and efficiently.
  • Ability to be dedicated to meeting the expectations and requirements of internal and external customers.
  • Ability to manage short-term projects in the OCIO. Assist high-level agency managers in implementing and coordinating administrative aspects of planning projects and programs.
  • Gets first-hand customer information and uses it to improve products and services.

Working Conditions: Works in an environment where there is minimum exposure to dust, noise, or temperature. May be moderately exposed to unpleasant working conditions to include dust, noise, temperature, weather, petroleum products, and chemicals while visiting DART's operating facilities, assuming incumbent is observing all policies and procedures, safety precautions and regulations, and using all protective clothing and devices provided.
