Business Office Coordinator
At Central Texas Heart Center, PLLC, we provide high-quality, affordable healthcare to our community. We’re looking for an experienced Business Office Coordinator to join our team and help us continue to provide excellent patient care. The ideal candidate will have leadership experience in a healthcare clinic setting. The Business Office Coordinator will be responsible for overseeing the day-to-day operations of the business office team, ensure that all staff members are performing their jobs effectively and that our patients are receiving quality care in a clean, safe environment. The Business Office Coordinator position is a “working coordinator” position which requires the team member to complete Business Office tasks daily, including covering for absent team members when needed. Responsibilities and duties include, but not limited to, the following:
· Mentor CTHC’s Business Office team to be the best/positive team member they can be, support them with spreading positivity and providing them with the resources they need to be successful at their job.
· Ensure Business Office team members understand and adhere to CTHC’s Policies as outlined in the Practice Handbook.
· Ensure that all business office operations run smoothly on a day-to-day basis and align with Practice and quality standards.
· Perform orientation, training and/or schedule training sessions and provide support during the initial 90-day probationary period of new Business Office team members. Perform continuous training as necessary as the Practice grows.
· Monitor and approve Business Office team member’s PTO requests.
· Monitor and maintain all Business Office operational processes for absent team members by assigning coverage and/or by covering for PAC (Patient Access Coordinator), PST (Patient Service Team), IAD (Insurance Analysis Department), Medical Records and PFC (Patient Financial Coordinator). Assign/oversee the Brenham scheduling for Business Office Team.
· Ensure that all fax queues, appointment emails, referrals are being worked each day by assigning team members or by performing the duties to assist your team.
· Perform random audits of each front desk cash drawer for balancing.
· Perform weekly new patient availability reports and communicate with all providers.
· Monitor the incoming calls through Ipitomy to ensure all incoming calls are being answered. Provide hands-on support when the phones are busy by getting into the phone queue.
· Provide support to the clinical team when a schedule needs to be blocked and/or patients rescheduled by either coordinating accordingly or performing the duties.
· Monitor the “electronic” appointment cancellations and requests to be rescheduled when the patient gets their appointment reminder call. Ensure all patients have been contacted and rescheduled.
· Maintain/manage all provider/ancillaries schedules including but not limited to rescheduling patients for all call days/post call days/days off/ etc.
· Perform 3 to 4 daily practice “walk throughs” to check on Business Office team members and assist in troubleshooting daily practice operations.
· Oversee the sweetheart committee & all the duties that come with it.
· Represent CTHC in a professional manner and all that this entails (attire, communications, meetings, etc.).
· Any and all other duties assigned as necessary.
Required Experience, Skills and Qualifications:- 3-5 years’ experience in healthcare business office leadership
- 1-2 years' experience in day-to-day operations on the business side of a healthcare practice.
- Proven track record of successful team leadership and building positive relationships.
- Excellent communication, problem-solving, and conflict-resolution skills.
- Strong organizational and time-management skills.
- Working knowledge of Microsoft Office suite.
- Working knowledge of electronic medical records (EMR) such as eClinicalWorks, EPIC, or Meditech.

Practice Hours: Monday through Thursday 8:00am to 5:00pm, Friday 8:00am to Noon.
