The Senior Executive Assistant Analyst is a highly strategic and analytical role that provides comprehensive support to the CEO by combining executive assistance expertise with data-driven decision-making. This position involves managing high-level communications, board reporting, financial analysis, and process optimization while leveraging tools such as Excel, Power BI, SQL, and Power Automate. Additionally, the role ensures the CEO's time is effectively prioritized, tracks key business metrics, and streamlines executive workflows using Lean Six Sigma principles. The ideal candidate will be proactive, detail-oriented, and capable of handling confidential information while maintaining professional relationships with board members, investors, and key stakeholders.
Summary of Responsibilities:
Data Analysis, Financial Analysis & Reporting : The Senior Executive Assistant Analyst will develop and manage dashboards and reports utilizing Excel, Power BI, and SQL to provide critical insights for executive decision-making. This role involves conducting in-depth financial analysis, including P&L management, KPI tracking, and financial modeling, to support business performance evaluations. Additionally, the analyst will monitor industry trends, benchmark competitor data, and analyze operational metrics to identify opportunities for improvement. By proactively identifying and flagging unusual financial trends, this position ensures that the CEO remains informed of key financial shifts that may impact strategic priorities.
Process Improvement & Optimization : Leverage Lean Six Sigma principles to optimize executive workflows and improve efficiency. This can be achieved by automating routine tasks and processes through the use of Power Automate, allowing for greater consistency and reduced manual effort. Additionally, continuously reviewing the CEO's email and workflow for inefficiencies and recommending improvements will help streamline operations, ensuring that time and resources are used effectively.
Project and Strategic Support : Assist in high-priority projects to ensure the seamless execution of strategic initiatives. This includes maintaining and updating the CEO's strategic priorities while also tracking key leadership vacancies. Ensure that all executive materials and presentations are accurate, insightful, and actionable, providing the necessary information for informed decision-making. Additionally, offer real-time support to assist in executive decision-making, ensuring that leaders have the necessary tools and data at their disposal to make timely, effective choices.
Advanced Communication & Stakeholder Management: Coordinate internal and external communications on behalf of the CEO for the Board of Managers, ensuring that all information is accurately conveyed and well-received. Prepare and review board-level reports, investor briefings, and executive summaries, ensuring they are comprehensive and aligned with the company's objectives. Maintain professional relationships with board members, investors, and key stakeholders to foster trust and collaboration. Additionally, ensure that all executive communications align with corporate priorities and brand positioning, maintaining consistency and reinforcing the company's strategic direction.
Executive Support duties: Daily tasks include managing the CEO's high-volume meetings, prioritizing emails, preparing documents, tracking follow-ups, consolidating financial reports, and handling urgent requests. Weekly duties involve aligning the CEO's schedule with strategic priorities, preparing internal updates, tracking KPIs, and managing personal brand and travel logistics. Bi-weekly, you'll update strategic initiatives, maintain relationships with key stakeholders, and provide industry insights. Monthly responsibilities include preparing business performance reports, updating goals, tracking financials, and supporting recruitment and leadership development efforts. Quarterly, you will assist with board meetings, prepare impact reports, manage public speaking engagements, and ensure compliance with cybersecurity and IT security protocols. This role is ideal for someone who thrives in a fast-paced environment and can manage a variety of tasks to support the CEO's success.
REQUIRED QUALIFICATIONS:
Bachelor's degree in business, Finance, Data Analytics, or related field (MBA preferred). Minimum 7+ years of experience as an Analyst and or executive assistant support or in a senior administrative support role, preferably in a corporate data driven and analytical environment.
Experience supporting senior-level executives, particularly CEOs and Board of Directors.
Proficiency in Excel, Power BI, and SQL for data analysis and reporting with the ability to interpret complex data and produce clear reports.
Experience in Lean Six Sigma principles and workflow automation (Power Automate).
Strong understanding of financial metrics, P&L analysis, and KPI tracking.
Excellent project management, organizational, and problem-solving skills.
Advanced communication and stakeholder management experience.
Ability to work in a fast-paced, high-pressure environment.
High attention to detail with a strong sense of urgency.
