Job Description

The Property Administrator position provides first-class property management services and assist the Property Management team with day-to-day responsibilities of operating a portfolio of industrial properties. Typical duties include Accounts Receivable & Accounts Payable, office administration, customer service, and enhancing tenant relations.

ESSENTIAL FUNCTIONS:

  • Administrative duties.
  • Timely and accurate processing of Accounts Payable and Accounts Receivable.
  • Proficiency with MS Excel.
  • Scheduling and communication with vendors and tenants.

RESPONSIBILITIES :

  • Accounts Payable – code invoices and verify proper backup, forward to the Property Manager for approval, and enter into payables system.
  • Contracts – prepare and track vendor contracts.
  • Accounts Receivable – prepare and send monthly late letters and follow up with tenants for payment; Prepare and send default letters when necessary and also prepare paperwork for lock-outs as needed; Refer accounts to Collections as necessary. Prepare deposits, take to bank for deposit, and enter into system.
  • Maintain electronic file system.
  • Prepare Lease Termination Forms and Write-off forms as necessary.
  • Prepare Aging Reports.
  • Maintain Certificates of Insurance for vendors/tenants.
  • Maintain work order system, issue work orders, and dispatch building engineers.
  • Schedule building activity including move-ins / move outs; verify insurance.

  • Basic accounting skills and knowledge
  • Mathematical aptitude
  • Strong verbal and written communication skills
  • Excellent customer service skills
  • Good organizational skills
  • Proficient with Microsoft Excel and Word; Yardi experience a plus
  • Typing skills 30+ wpm; 10-key by touch
  • Desire and ambition to learn and grow in the property management industry and with the company
