QUALIFICATIONS: Education/Certification: High school diploma Special Knowledge/Skills: Proficient typing, word processing, and file maintenance skills Effective organizational, communication, and interpersonal skills Knowledge of basic accounting principles Ability to use personal computer and software to develop spreadsheets, databases, and do word processing Minimum Experience: Two years secretarial experience, preferably in a public education environment MAJOR RESPONSIBILITIES AND DUTIES: 1. Assist students, teachers, and parents as needed. 2. Prepare written correspondence, forms, purchase orders, requisitions, schedules, and reports using typewriter or personal computer, and properly route. 3. Receive incoming calls, take reliable messages, and route to appropriate staff. 4. Maintain physical and computerized files to include inventory of school and office supplies, mailing lists, student records, visitor logs, and office communication. 5. Perform routine bookkeeping tasks including simple arithmetic operations to maintain a record of campus budget and account(s). 6. Prepare and make cash deposits for activity account(s); may be responsible for maintenance of activity checkbook and ledger. 7. Receive, store, and issue supplies and equipment. 8. Assume responsibility for or assist with entering of campus PEIMS data using on-line terminal. 9. Prepare instructional materials, meeting agendas, honor rolls, and campus communication as requested, using typewriter and personal computer. 10. Maintain a daily faculty and staff attendance log and the records for substitute teachers. 11. Arrange for substitute teachers. 12. Maintain school calendar of events. 13. Schedule meetings and appointments and maintain calendar for principal. 14. Maintain personnel time records to include sick leave, vacation, and special requests; compile information and submit to the central business office. 15. Maintain a log of visitors to the school. 16. Administer medication to students, check temperatures, and notify parents of student illness in nurse's absence. 17. Update handbook, policy manuals, and other documents as needed. 18. Maintain confidentiality. EQUIPMENT USED: Personal computer, typewriter, printer, calculator, copier, fax machine, and thermofax machine. WORKING CONDITIONS: Mental Demands: Reading; ability to perform basic arithmetic, communicate effectively (verbal and written), operate a computer; and maintain emotional control under stress.
