Administrative Law Enforcement Coordinator

GENERAL SUMMARY
To provide a wide variety of highly responsible and complex clerical and secretarial duties in the coordination of a department or division; to provide professional, effective and efficient public service assistance to the general public; and provide highly responsible secretarial support to an assigned department director; or, supervise, assign, review and participate in the work of staff involved in providing clerical and secretarial support to an assigned bureau. ESSENTIAL DUTIES AND RESPONSIBILITIES

- DEPENDING ON ASSIGNMENT:
- Select, train and supervise clerical staff; Plan, prioritize, delegate, and review the work of assigned clerical staff as appropriate.
- Provide clerical and secretarial support to assist designated department director and other support staff in the completion of their duties and responsibilities; provide training and direction to other support staff and bureaus as needed.
- Maintain work and leave time records such as monthly duty schedule, vacation and training schedules for various personnel; maintain and update personnel files as needed.
- Compose and review a variety of memorandums, correspondence, public notices and documents for distribution within the city, to City Council and to other related external businesses and governmental agencies as assigned; photocopy, mail or fax materials as necessary; design and maintain a variety of forms used by an assigned department; may coordinate payroll activities; handle confidential information appropriately as assigned.
- Screen and direct calls and visitors as appropriate; answer questions and provide information to the public; respond to and receive citizen and client complaints and questions and/or refer to appropriate City staff member for resolution; provide assistance filling out City required forms as necessary.
- Prepare and maintain a variety of files and filing systems update various records; research and verify information as requested; purge files as appropriate.
- Coordinate department activities between businesses, vendors, City departments and the general public, schedule travel arrangements, reservations, daily operations or meetings as assigned.
- Participate in annual department budget preparation and administration; assist with monitoring and controlling expenditures; order and maintain office supplies and associated materials; verify invoices before processing for payment.
- Coordinate, assist and photograph Student Government Day activities and a variety of other police special events.
- Monitor building maintenance needs; respond to and resolve building maintenance calls; and report building maintenance problems to appropriate Building Services personnel.
MINIMUM JOB REQUIREMENTS
EDUCATION
High School Diploma or GED.
EXPERIENCE
Requires four (4) years of progressively responsible secretarial and clerical experience.
Must be able to type 45 wpm.
Possession of a valid driver license.
WORK SCHEDULE
Monday - Friday from 8:00 a.m. to 5:00 p.m.
