Position Summary:
The Administrative Assistant is responsible for managing various office tasks including answering phones, assisting other departments with various tasks, greeting visitors, and other tasks as assigned.
Responsibilities:
- Answering phones – triaging calls. Forwarding / un-forwarding phone lines AM & PM to After Hours service.
- Assisting Sales personnel with preparing proposals.
- Researching equipment and suppliers to create Quotes.
- Setting up new accounts for monitoring at our Central Monitoring Station.
- Creating new installation paperwork and monitoring agreements.
- Creating email, correspondence, memos, letters, Faxes and forms.
- Maintaining the existing customer-based filing system.
- Providing general support to visitors.
- Attending Staff meetings and taking detailed minutes of the meetings.
Competencies:
- Excellent written and verbal communication skills.
- Superior attention to detail and accuracy.
- Ability to handle multiple projects at once, switching between various tasks quickly.
- Strong knowledge of industry protocols and best practices
- Ability to work independently and meet tight deadlines.
Knowledge, Skill & Other Requirements:
- Bachelor’s degree in accounting, finance, or other related field; preferred
- Proven experience as an Accounting Specialist or similar role
- Strong knowledge of accounts receivable principles and best practices
- Proficient in using accounting software and MS Office applications, particularly Excel.
- Knowledge of GAAP and familiarity with relevant accounting regulations and standards.
- Experience with ERP systems; a plus
- Must be legally authorized to work in the United States.
