Actual Position Title: Senior Administrative Assistant
Department: Department of Social Work
** Summary:
**
The primary purpose of the Senior Administrative Assistant position is to perform complex administrative support duties for the Department of Social Work. The Senior Administrative Assistant will maintain confidentiality when working with sensitive material for the Director, Assistant Director, and/or the Operations Manager of Social Work.
** Key Functions:
**
Administrative Support
• Provide administrative support to the Social Work Supervisor(s), which includes providing support for specific projects, ensuring calendar is updated and accurate, providing reminders for meetings, attending meetings to assist with minutes, assisting with design projects and PowerPoint presentations as needed.
• Provide administrative support to the social work units including Concur request, staff development data entry, productivity reporting, ProCard request/Peoplesoft office supply orders
• Kronos timekeeping for units and act as backup as needed, which includes but is not limited to, pre-approval of all workforce members time and attendance, submission of Kronos corrections, EZ Call entries and time adjustments with justification
• Responsible for processing ePAFs
Patient Assistance Program
• Airline ticket, Ride Share/ Bus request: Review, process, and track CRM requests submitted via OneConnect by the Social Work Counselors requesting airline tickets for patient/caregiver travel (i.e. donated by Southwest and United Airlines). Issuing airline tickets via the provided vendor sites, communicating the ticket information and booking instructions for the patient/caregiver to the requesting Social Work counselor via email. Update and maintain the airline ticket tracking log, for monthly available ticket count communication to the department. Verifying and tracking Lyft request and documenting cost and completion into the OneConnect CRM records.
• Main contact for Adopt-A-Family annual program processing, issuing, loading, and reloading cards for approved families
• Main back-up to Patient Assistant Program Coordinator, assisting with CRM processing via OneConnect for store value cards for meals, transportation, parking, and lodging as needed
• Accessing US Bank site for loading and reloading Visa cards
New Employee Program
• Coordinate new employee orientation including schedules, office space preparation, tours, and department training with operations manager
Back-up Coverage for Front Desk
• Provides coverage and guidance for other support staff members as deemed appropriate (see position descriptions for Administrative Assistant, Senior Secretary).
• Provides back-up coverage of the front desk as needed in The Department of Social Work to include greeting patients and answering telephones in a professional manner.
• Obtain and verify patient information utilizing OneConnect to triage referrals, suicide pages, and code blue pages to the appropriate social work counselor to ensure patient needs are met.
• Back-up coverage for Patient Assistant Program: Utilizing OneConnect to distribute visa gift cards, housing contracts, airline tickets, and parking assistance.
• Other duties as assigned.

** Education:
**
Required: High school graduate or equivalent. Specialized training in secretarial skills (such as word processing and business).
Preferred: Bachelor’s degree. Two years of formal secretarial training from an approved business or secretarial school.
** License/Certification:
**
Preferred: Certified Professional Secretary.
** Experience:
**
Required: Four years secretarial experience including advanced secretarial duties.
