Construction Recordkeeper I

Maintains construction project records and processes related paperwork; reviews and modifies contract documents to reflect changes to original agreement; monitors records to verify compliance with state and federal laws and determines payments due contractor for work completed. Work requires contact with contractors. Employees at this level perform work independently on assignments; however, all unusual issues are referred to the supervisor.

Essential Duties:

  • Coordinates with construction inspectors and contractor's staff to ensure project records accurately reflect changes and agreements.
  • Prepares and submits monthly and final estimates; checks calculations against work log and estimate form to verify work is completed before payment is made.
  • Composes, reviews, and maintains correspondence, reports, supporting documents and files.
  • Maintains filing structure for each construction project within assigned area.
  • Performs other job responsibilities as assigned.

Construction Recordkeeper II

Essential Duties (in addition to Recordkeeper I):

  • Trains less experienced employees.
  • May attend pre-construction meetings to instruct contractor's bookkeeper on record-keeping procedures.
  • Monitors contractors' compliance with federal requirements related to Equal Employment Opportunity and wages.
  • Processes change orders, supplemental agreements, and extra work orders.
  • Performs other job responsibilities as assigned.

Minimum Qualifications:

Construction Recordkeeper I and II Education:

Education: High School Grad or Equivalent in general education.

Mandatory: Safety Impact Certificate

Construction Recordkeeper I Experience: No experience required. (Experience can be satisfied by full time or prorated part time equivalent). Related college education or relevant technical training may be substituted for experience on a year per year basis. Substitutions for Minimum Qualifications

Construction Recordkeeper II Experience: 1 YEAR Record-keeping, bookkeeping, or other related experience. (Experience can be satisfied by fulltime or prorated parttime equivalent)

Construction Recordkeeper I and II Licenses and Certifications:

Licenses and Certifications: Valid driver’s license. This position requires driving a state vehicle.

Construction Recordkeeper I Competencies:

  • Higher mathematics
  • Analyzing issues, facts, and available information to develop logical solutions; researching inconsistencies of facts or data; drawing correct inferences from information and making recommendations that support business decisions
  • Writing, reviewing and revising documents to include engineering notes, specifications, standards and procedures
  • Using standard office equipment
  • Using computers, applicable programs, applications, and systems
  • Maintaining a safe and effective working relationship with others

Construction Recordkeeper II Competencies (in addition to Construction Recordkeeper I):

  • Applicable testing methods, processes and procedures
  • Governmental policies and procedures
  • Reviewing plans for accuracy and ensuring compliance with requirements
  • Reading and interpreting applicable plans, schematics, blueprints and maps
  • Performing calculations using algebra, trigonometry and geometry

Construction Recordkeeper I and II Physical Requirements and Working Conditions:

  • Sedentary work: Lift up to 10 lbs at a time and occasionally carry files/small tools
  • Light work: Lift up to 20 lbs at a time and frequently lift or carry objects up to 10 lbs
  • Standing-prolonged periods of time
  • Repetitive Motion-substantial movements of the wrists, hands, and/or fingers
  • Close Visual Acuity-work includes data/figures; view a computer screen; extensive reading

  • Must pass a drug test prior to employment for safety impact positions. This is a Safety Impact position and will be subject to random drug testing.
    • Please note that the Department of Transportation's Drug and Alcohol Testing Regulation – 49 CFR Part 40, at 40.151(e) – does not authorize “medical marijuana” under a state law to be a valid medical explanation for a positive drug test result for an employee in this position.
  • Required to work weekends and holidays.
  • Required to work hours other than 8 to 5.
  • Required to work under exposure to inclement weather conditions.
  • Required to wear personal protective equipment provided by employer and comply with all safety requirements.

Salary Grade:

  • Construction Recordkeeper I: A16, $3,409.83 - $5,094.16 (Monthly)
  • Construction Recordkeeper I: A18, $3793.41 - $5,921.25 (Monthly)
