JOB SUMMARY: The Medical Student Clerkship Coordinator supports medical student education, particularly during clinical rotations (clerkships) at St. Joseph Medical Center. This role involves managing the logistics of clerkships, ensuring compliance with accreditation standards, and serving as a liaison between students, preceptors, academic partners (medical schools), and department administrators. The coordinator is responsible for a range of tasks, from scheduling rotations and exams to maintaining student records and facilitating communication. A medical student clerkship coordinator is the backbone of the clinical education experience, playing a multifaceted role in ensuring that medical students receive the necessary support, guidance, and resources to succeed in their clerkships and ultimately become competent and compassionate physicians.

Shifts: Monday-Friday 8am-5pm

Key Responsibilities:

  • Clerkship Program Management
  • Overseeing the daily operations of clerkships, including scheduling rotations, managing student records, and coordinating evaluations.

Student Support:

  • Serving as a primary point of contact for students, addressing their questions and concerns, and providing guidance on academic and logistical matters.

Faculty and Preceptor Coordination:

  • Collaborating with faculty and preceptors to schedule teaching activities, distribute educational materials, and ensure smooth execution of the clerkship curriculum.

Compliance and Accreditation:

  • Ensuring that the clerkship program adheres to relevant accreditation standards and institutional policies.

Record Keeping and Data Management:

  • Maintaining accurate and up-to-date records of student performance, evaluations, and other relevant data.

Communication and Collaboration:

  • Facilitating communication between students, faculty, medical schools, and administrators to ensure a cohesive and well-structured educational experience.

Exam Proctoring and Grading:

  • Organizing and proctoring standardized exams (e.g., NBME shelf exams) and assisting with the grading process.

Curriculum Development and Improvement:

  • Contributing to the development and refinement of the clerkship curriculum based on feedback from students and faculty.

Other duties as assigned:

  • This may include organizing workshops, managing websites, and assisting with special projects related to medical student education.

Essential Skills and Qualifications:

  • Strong organizational and time management skills: Strong ability to organize, prioritize, and manage multiple tasks and deadlines effectively.
  • Excellent communication and interpersonal skills: Excellent verbal and written communication skills to interact effectively with a diverse range of individuals, including students, faculty, and administrators.
  • Well-developed interpersonal skills, demonstrating professionalism, diplomacy, and the ability to handle sensitive and confidential information.
  • Problem-Solving & Critical Thinking: Ability to identify and analyze problems, anticipate potential issues, and develop effective solutions.
  • Proficiency with relevant technology: Proficient in using various computer software applications, including Microsoft Office Suite (Word, Excel, PowerPoint), databases, and learning management systems.
  • Attention to detail and accuracy: Meticulous attention to detail in managing records, data, and ensuring compliance with policies and procedures.
  • Ability to work independently and as part of a team: The ability to manage tasks independently while also collaborating effectively with others.
  • Knowledge of medical education principles and practices: Understanding of the structure and requirements of medical clerkships.
  • Experience in a medical or educational setting: Minimum requirements include a high school diploma or equivalent and related administrative or office support experience.
  • An associate or bachelor's degree in a related field, along with experience in an academic or medical education setting is preferred.
