Job Overview
We're looking for a proactive, detail-oriented Real Estate Administrative Assistant to support our high-performing Dallas real estate team. This role is essential to streamlining operations, managing the team leader's schedule, coordinating marketing and client outreach programs, and driving transactions from contract to close. Key Responsibilities
- Manage and maintain the team leader's daily schedule, appointments, and prep materials
- Coordinate listing prep, organize marketing materials, and ensure smooth transitions from pre-listing to on-market
- Oversee contract-to-close process using transaction software in collaboration with clients, agents, and vendors
- Prepare and send monthly outreach (postcards, gifts, emails) to past clients and VIPs
- Organize client appreciation events, birthday programs, and seasonal outreach
- Generate daily call lists for lead follow-up and relationship building
- Provide general administrative and ad hoc support to keep the office and team running smoothly
Qualifications & Skills
- Previous experience in a real estate admin or an operations role preferred
- Proficient with real estate CRM systems and transaction management platforms (e.g., Dotloop, Skyslope, or similar)
- Exceptional organizational and time management skills
- Strong written and verbal communication
- Proactive and solutions-oriented mindset
- Familiarity with the Dallas real estate market a plus
- Event coordination or client gifting experience is a bonus

Compensation:$18.50 - $20 hourly
Responsibilities:- Fill out all appropriate paperwork and file in the customer database to assist the real estate team in closing deals
- Generate status reports for the team on a regular basis to make sure company targets are being properly prioritized
- Track important dates and time limits for transactions and notify relevant stakeholders as needed
- Fulfill client requests for information or other relevant transaction services in a quick and friendly manner
- Schedule necessary appointments with all parties, including open houses and the final walkthrough
- Supervise production of all online marketing materials as well as brochures and flyers for events to professionally represent the real estate team
- Must have high school diploma or GED
- Has knowledge of Microsoft Office and customer relationship management software
- Great written and verbal skills
- Previous experience in the real estate industry
